Job Overview:

The Finance and Administration Supervisor, reporting directly to the Executive Director, is accountable for overseeing all financial operations of the Prescott Historical Society and Sharlot Hall Museum. This role encompasses accounting, budgeting, audit preparation, human resources management, payroll, and insurance responsibilities.

The Prescott Historical Society features a picturesque 4-acre campus in downtown Prescott, housing historic structures, exhibits, a collection exceeding 40,000 artifacts, and a research library.

Key Responsibilities:


• Manage all daily operational functions of the Prescott Historical and Sharlot Hall Historical Societies, including payroll, accounts payable, accounts receivable, cash flow management, and various financial and accounting tasks.


• Develop and prepare annual budgets for both the Prescott and Sharlot Hall Historical Societies.


• Oversee human resource functions for both organizations, including recruitment, hiring, maintaining job descriptions, processing employee onboarding, and managing employee benefits.


• Compile, analyze, and present financial data to staff, the executive director, and the board of trustees (BOT).


• Provide financial guidance to the director, BOT, and staff.


• Establish a collaborative relationship with state Central Services for Human Resources and Accounting.


• Act as the agency liaison to Central Services.

Required Knowledge, Skills & Abilities:

Knowledge:


• Proficient in accounting principles, including GAAP (Generally Accepted Accounting Principles).


• Experience in budgeting and financial reporting.


• Familiarity with non-profit organizations.


• Basic understanding of HR processes.

Skills:


• Proficient in QuickBooks and Google Suite.


• Knowledge of payroll processing and relevant laws.


• Experience with fixed assets management.


• Competence in budgeting and reporting.


• Proficient in spreadsheet and word processing applications.

Abilities:


• Strong attention to detail and ability to manage multiple tasks effectively.


• Excellent communication skills.


• Strong organizational and time management skills.


• Good interpersonal skills.

Preferred Qualifications:


• An MBA or CPA is advantageous.


• Experience in human resources is preferred.


• Background in non-profit organizations is a plus.

Pre-Employment Requirements:


• A Bachelor's degree in Accounting or Finance.


• 1-5 years of experience in Accounting or Finance.
