Receiving Specialist

Job Purpose


Oversees the daily functions and procedures involved in receiving merchandise shipments, while ensuring optimal inventory levels and the security of the receiving area and storage facilities.

Responsible for managing all interactions with external vendors, auditing and reporting discrepancies in invoices, and escalating issues as necessary. Enhances customer trust and loyalty by ensuring consistent and compliant operational standards. Delivers fresh and appealing products, along with courteous, knowledgeable, and prompt service. Embraces diversity and supports an inclusive workplace by valuing the unique backgrounds and experiences of the team.

Key Performance Indicators (KPI) - What Success Looks Like

OSAT (Availability) - Overall customer satisfaction measured through POS surveys.

Percentage of loyalty program customers rating their experience an 8, 9, or 10 on a 0-10 scale regarding product availability.

Total Store Supplies - Supplies as a percentage of sales compared to budgeted supplies as a percentage of sales.

Essential Responsibilities - What's Expected of Me

Customer Service:
40%

Creates an atmosphere that makes customers feel valued and appreciated, thereby enhancing their confidence and loyalty.

Manages Direct Store Delivery (DSD) plans, inventory, and ensures merchandising aligns with company standards and current merchandising strategies, maintaining in-stock conditions.

Ensures the backroom, coolers, and freezers are organized and free from clutter, and that the supply depot is well-maintained. Reports any discrepancies in invoices.

Financial Management:
35%

Ensures the accuracy of all financial transactions related to invoices. Completes daily and weekly administrative tasks, including communications and online training. Maintains inventory and stocking conditions, reporting any inventory discrepancies. Reviews and inspects products for accuracy, quality, and freshness, taking appropriate actions as necessary. Assists in planning and organizing the inventory process. Manages supply inventory to ensure availability of approved supplies within budget constraints.

Leadership:
15%

Fosters trust and respect among team members by promoting collaboration, teamwork, and effective communication of company, departmental, and job-specific information.

Supports department managers in maintaining target inventory levels and balancing weekly purchase summaries; keeps records of inventory, invoices, and related documentation for all departments.

Adheres to all local, state, and federal regulations, as well as company policies.

Compliance & Safety:
10%

Ensures adherence to company standards for safety, proper food handling practices, sanitation, and productivity.

Complies with all regulatory requirements related to food safety, including USDA and Country of Origin Labeling (COOL) regulations.

Executes product recalls and withdrawals promptly, ensuring all items are secured and removed from customer access.

Reinforces safety protocols by adhering to safety procedures and identifying unsafe conditions for reporting to management. Notifies management of any customer or employee accidents. Reports all safety risks or issues, including theft or fraud. Ensures compliance with wage and hour regulations. Cultivates a safety-conscious culture within the store. Ensures that all associates are trained in safety procedures and are working safely.

Ensures that Hazardous Assessments are accessible for associate reference and that Personal Protective Equipment is available and utilized as required.

Ensures that equipment is well-maintained; reports and assists in addressing safety hazards within the department.

While performing the essential functions of this position, the employee is regularly required to stand or walk on various types of flooring, utilize manual dexterity, talk, see, hear, smell, and perform repetitive movements with both hands and/or feet.

The employee is frequently required to reach at waist level or overhead, carry, push, or lift various loads up to the required weights listed.

The employee is occasionally required to sit, balance, stoop, kneel, crouch, and climb up to 30 ft.

Working Conditions:
While performing the essential functions of this position, the employee may be exposed to various indoor and outdoor conditions, including cold, freezing, heated, and wet/humid environments.

Safety Risk Factors:

The employee is frequently required to twist their back and/or neck, walk on slippery or cluttered surfaces, work with hazardous equipment, and be exposed to sharp objects.

Overall Required Equipment:
Cleaning supplies and equipment, general office equipment, register, pricing gun, scales, scanner, and various material handling equipment such as racks, carts, pallet jacks, and shopping carts.

Goggles, gloves, back brace.
