Position Overview

The Procurement Specialist is responsible for processing customer orders to fulfill project requirements, utilizing either stock inventory or distribution channels. This role requires maintaining close collaboration with internal teams to oversee the order pipeline, ensuring that service level agreements (SLAs) for order-to-invoice timelines are met or exceeded. Attention to detail is paramount, as the Procurement Specialist must accurately review, verify, and process various order types, including dropship, stock, run rate, deployment, or installations. Additionally, this position involves managing return requests to uphold customer satisfaction levels. If you are detail-oriented, organized, and possess a strong sense of accuracy, this role may be an excellent fit for you.

Key Responsibilities
  • Assess project order requests for precision
  • Execute project order requests promptly
  • Monitor open project orders to ensure expectations are met
  • Engage with suppliers to expedite outstanding orders
  • Update the sales team regarding order statuses, including shipping notifications and back orders
  • Investigate and resolve vendor invoice discrepancies
  • Maintain detailed records of project-specific order processing
  • Handle RMA requests related to project orders from both distribution and internal warehouses
  • Communicate effectively via phone, email, and in-person with relevant stakeholders
  • Assist various departments in researching and resolving order-related issues, such as missing shipments and duplicate orders
  • Participate in the planning and execution of special events, specific projects, or program changes as needed
  • Complete additional duties as assigned by management
Qualifications
  • A minimum of four years' experience in customer service or procurement is required
  • Education: High school diploma is required; a college degree or project certifications are preferred
  • Exceptional accuracy and attention to detail are essential for efficient order processing
  • Strong analytical and research skills to address complex scenarios
  • Excellent organizational skills to manage all aspects of purchasing and support
  • Proficient clerical skills, along with computing and data entry capabilities
  • Familiarity with standard office productivity software is necessary
  • Knowledge of NetSuite is preferred
  • Ability to pass a background check is required
