Key Responsibilities:

  • Coordinate all travel logistics for contractors and vendors, including flights, accommodations, and local transportation. Act as a liaison between various stakeholders to ensure smooth communication.
  • Manage correspondence with local agents regarding necessary work permits, travel documentation, and clearances required for operations.
  • Prepare and monitor documentation for contractors to secure appropriate visas and immigration paperwork.
  • Support both Corporate and Technical Operations teams by maintaining updated records of travel statuses and visa requirements.
  • Collect and manage confidential information, including passports, for all traveling personnel. Ensure all data is accurately recorded and maintained.
  • Handle cabin requests and monitor cabin availability, ensuring timely updates based on the number of travelers and changes in schedules.
  • Collaborate with internal departments, including travel, HR, and operations, to ensure all travel-related needs are met.
  • Organize and send necessary documentation and packages to be delivered onboard as required.

Qualifications:

  • Associate's degree or equivalent professional experience.
  • A minimum of 2 years in travel coordination or event management.
  • Proficiency in MS Office Suite, including Outlook, Word, PowerPoint, and Excel.
  • Familiarity with ship operations and visa regulations is highly desirable.
  • Ability to excel in a dynamic and fast-paced environment.
  • Strong communication and interpersonal skills.
  • Excellent organizational abilities with a proven track record of managing multiple tasks simultaneously.
