Job Summary:

The Deputy Director, Operations is responsible for providing operational support to all staff statewide, ensuring that all staff are properly trained, office infrastructure is in place and working properly, expenses are accurately tracked, and deadlines for reports to funders and headquarters are understood and met.

Key Responsibilities:
  • Provide operational support to all staff statewide, including training, infrastructure, and expense tracking.
  • Work with the State Director to research and evaluate funding opportunities, oversee grant deliverables, and manage government funding reporting.
  • Review and approve contracts, check requests, and orders for office infrastructure, including copiers, telecommunications, computers, and postage machines.
  • Oversee office logistics, such as supply orders, phone systems, computer backup/networking, and track and maintain records of training for all staff statewide.
  • Work with the State Director to develop and manage the operational state plan initiatives and statewide budget.
  • Use the online reimbursement system to effectively track and manage reimbursement requests from Directors and/or Program Supervisors when applicable.
  • Track all Programs and Management expenses statewide and work with the State Director on monthly budget projections.
Requirements:
  • Strong project/time management skills, including planning, analysis, attention to detail, and problem-solving.
  • Strong initiative, drive for results, and self-assessment skills, and ability to lead individuals and teams in setting and achieving challenging goals.
  • Must be highly dependable, lead by example, and be willing/able to adapt management style to fit the situation and hold staff accountable for meeting set expectations.
  • Strong written communication and editing skills.
  • Strong presentation and facilitation skills.
  • Basic understanding of social media and proficiency with Microsoft Office.
  • Ability to effectively gain information and insight through questioning/probing and observation of staff in the field, analyze information, and provide meaningful feedback.
  • Must be comfortable engaging with people with intellectual and developmental disabilities (IDD).
  • Must travel, use personal cell phone, and work evenings and weekends as necessary in order to accomplish job responsibilities.
  • Bachelor's degree or minimum 4 years' relevant experience.
  • Access to an automobile with applicable insurance.
