Position Summary:
The Business Office Manager oversees all operational functions within the business office, including patient admissions, financial counseling, data management, and eligibility assessments.
Key Responsibilities:
- Manage and coordinate all patient admission and registration processes to ensure accurate and timely data entry.
- Conduct interviews with patients and their families to gather essential personal and financial information, ensuring eligibility for both inpatient and outpatient services.
- Oversee the charge capture processes to guarantee that all charges, including ancillary services, are accurately recorded and posted to patient accounts promptly.
- Review daily out-of-pocket yield reports to ensure collection efforts align with hospital-specific targets for upfront collections. Provide patients facing financial challenges with information on payment options and financial assistance programs, ensuring arrangements are finalized before discharge.
- Supervise the TAR process to confirm that all necessary documentation is complete, accurate, and processed in a timely manner, with all required information logged for review.
- Monitor self-pay accounts to ensure patients are informed of applicable self-pay rates and that accounts are managed according to these rates. Ensure compliance with payment plans and reach out to patients in cases of non-compliance.
- Develop and implement collection policies and procedures, training staff to ensure compliance with relevant State and Federal collection regulations.
- Oversee personnel management activities, including recruitment, onboarding, training, performance management, and employee relations.

Westborough Behavioral Healthcare Hospital (WBHH) specializes in psychiatric stabilization and treatment for children, adolescents, and adults in both inpatient and outpatient environments. Qualifications:
Education and Licensure:
- Associate's Degree required
- Bachelor's Degree preferred
- Professional certifications such as HFMA or AAHAM are advantageous but not mandatory.
Experience:
- A minimum of 4-5 years of experience in healthcare, preferably within a hospital context.
- 2-4 years of management experience required.
- Experience in managing a medical business office, including benefits verification.
- Familiarity with admission/registration processes, charge capture, out-of-pocket yield management, self-pay management, and collections is preferred.
