ROLE DESCRIPTION:

We are in search of a meticulous and dedicated Facilities Operations Specialist to become part of our team. This role involves overseeing the mailroom, providing backup support for the front desk, and assisting the Office Manager with daily operational tasks.

KEY RESPONSIBILITIES:

Office Coordination and Maintenance:

  • Ensure a tidy office environment through effective property management and maintenance requests.
  • Coordinate repairs, cleaning, or disposal of items as necessary.
  • Facilitate office reorganizations when staff members relocate.
  • Manage the setup and reservation of Day-Use offices and workstations for remote employees.
  • Assist in booking conference rooms as per employee requests.
  • Deliver packages to staff when required.
  • Order and manage supplies for printers and copiers, and arrange for maintenance as needed.
  • Support the assignment of workstations and offices for new employees using office management software.
Support Functions:
  • Provide front desk coverage during lunch breaks.
  • Participate in meetings, documenting notes on future office renovations and policy changes.
  • Address employee inquiries and communicate with the Facilities Manager.
  • Collaborate with the IT department regarding new hire packages.
Mailroom Oversight:
  • Distribute morning mail across all departments.
  • Process daily USPS mailings.
  • Generate labels for UPS shipments.
  • Maintain funding levels in the mail processing machine.
Supply Chain Management:
  • Order supplies from various vendors, including UPS, Iron Mountain, Amazon, and Office Depot.
  • Request the emptying and return of shred bins from Iron Mountain.
  • Manage requests for Iron Mountain boxes and coordinate pickups.
QUALIFICATIONS:
  • A minimum of 1 year of experience in facilities coordination, office management, or related fields.
  • Exceptional organizational and multitasking abilities.
  • Strong interpersonal and communication skills, with a professional demeanor.
  • A collaborative team player committed to delivering outstanding customer service.
  • Familiarity with office services, including reception, mail distribution, and supply management.
  • Ability to exercise discretion with sensitive information.
  • Professional appearance and conduct at all times.
  • Proficient in office management software, including Microsoft Outlook, Word, and Excel.
  • Capability to perform physical tasks, such as moving boxes or rearranging furniture.
