We are currently on the lookout for qualified candidates for the role of Administrative Support Specialist to facilitate administrative functions for the Alcohol and Tobacco Tax and Trade Bureau (TTB) located in Washington, D.C. This position requires on-site presence. Compensation range: $24.00 Hourly

Position Overview:

The Alcohol and Tobacco Tax and Trade Bureau (TTB) operates under the Department of the Treasury, with a mission focused on the collection of excise taxes related to alcohol, tobacco, firearms, and ammunition, while ensuring compliance with relevant laws and regulations. Standard working hours are from 9:00 am to 5:30 pm, with potential adjustments as needed to support the Administrator or Deputy Administrator, including a 30-minute unpaid lunch break. Occasional travel may be necessary to assist in meetings or conferences.

Qualifications:
  • A minimum of three (3) years of experience in providing administrative and secretarial support or related fields.
  • Proficient in various Microsoft Office applications, including SharePoint, Word, PowerPoint, and Excel.
  • Exceptional attention to detail and strong organizational abilities.
  • Prior experience in managing schedules and calendars.
  • Capability to obtain an Active Public Trust clearance.
Key Responsibilities:
  • Act as an assistant to the Administrator and Deputy Administrator of the Alcohol and Tobacco Tax and Trade Bureau (TTB), as well as other bureau officials and staff.
  • Provide comprehensive support for all operations and activities within the front office.
  • Assist with a diverse range of projects and tasks on behalf of the Administrator, Deputy Administrator, or their delegates.
  • Serve as the receptionist for the headquarters support area.
  • Handle, screen, and respond to telephone and in-person inquiries on behalf of the Administrator and Deputy Administrator.
  • Manage incoming correspondence and requests, determining appropriate actions for supervisor or staff members.
  • Schedule appointments independently without prior approval.
  • Coordinate arrangements for events such as award ceremonies, tours, conferences, and meetings, including the preparation and distribution of necessary materials.
  • Review outgoing documents for consistency and adherence to established procedures, ensuring proper clearances are obtained.
  • Gather information from files or staff for routine inquiries or reports.
  • Facilitate the processing of personnel and administrative forms for the office.
  • Prepare materials for meetings, including agendas and relevant background information, utilizing Word, Excel, or PowerPoint.
  • Navigate a complex organizational structure, working with intermediate supervisors and adhering to formal internal procedures.
  • Collaborate with other staff to manage tasking and suspense requirements effectively.
  • Maintain the long-range calendar for the Administrator and Deputy Administrator, forecasting events and managing scheduling conflicts.
  • Engage with TTB Headquarters staff and field locations to ensure thorough preparation for the Administrator and Deputy Administrator's calendar.
  • Manage the receipt and distribution of Official Mail and parcels, maintaining accurate logs of registered items.
