Quality Assurance and Maintenance Administrator

Position Objective: The Quality Assurance and Maintenance Administrator plays a crucial role in managing administrative functions while supporting the maintenance division to ensure the precision of data related to the upkeep and repair of equipment, facilities, and structures. This position also involves collaboration with the quality assurance team on various administrative responsibilities. The role will report directly to the Quality Assurance Supervisor and the Maintenance Manager.
Key Responsibilities:
- Maintain and ensure that files and records are consistently updated and easily accessible.
- Utilize office equipment effectively, including printers, photocopiers, and computers, to complete tasks such as document creation and data management.
- Regularly manage and update the appointment calendar, coordinating meetings and schedules efficiently.
- Generate detailed and accurate daily reports.
- Assist in organizing customer visits and third-party audits.
- Respond to incoming customer inquiries and coordinate with the appropriate teams.
- Collaborate with the quality team to ensure compliance with regulations (Organic, FDA, and cGMP).
- Engage with customers through third-party platforms (TraceGains, Safetychain, QADEX).
- Understand and adhere to the goals, policies, and procedures of RJW Logistics.
- Perform additional tasks as assigned by management.
Qualifications:
- Basic clerical skills in an office environment.
- Typing speed of at least 40 words per minute.
- 1-3 years of experience in maintenance or administrative roles.
- Strong attention to detail and analytical capabilities.
- Ability to work both independently and collaboratively within a team.
- Positive and professional telephone demeanor.
- Excellent organizational and scheduling abilities.
- Proficient in computer applications, including word processing and spreadsheets, with a willingness to learn new software used by RJW Logistics.
- Exceptional communication and interpersonal skills, capable of interacting with various management levels and contributing to a team-oriented environment.
- A highly motivated individual with a focus on service and detail.
Education and Experience:
- High School Diploma or equivalent (GED) preferred.
- Proficient in the full Microsoft Office suite.
- At least 1 year of relevant experience in industrial facility operations.
Language Proficiency:
Must be able to communicate effectively in English, including reading, writing, and speaking.
- Ability to read, analyze, and interpret business publications, professional journals, technical instructions, or governmental regulations. Capable of writing reports, business correspondence, and procedural manuals. Ability to present information effectively and respond to inquiries from groups of managers, clients, and customers.
Mathematical Skills:
- Ability to perform basic arithmetic operations, including addition, subtraction, multiplication, and division, using whole numbers, fractions, and decimals. Ability to compute rates, ratios, and percentages, and to interpret graphical data.
Reasoning Skills:
- Ability to solve practical problems and handle various concrete variables in situations with limited standardization. Ability to interpret a variety of instructions in written, oral, diagram, or schedule form. Capable of identifying the root cause of issues and determining corrective actions.
Computer Skills:
- Proficient in Business Operating Systems, Internet software, word processing, and spreadsheet applications.
Physical Requirements:
- Ability to occasionally lift and/or move up to 25 pounds.
- Ability to operate phone systems using keyboards and buttons.
- Must be articulate and comfortable speaking in front of groups.
- Regularly works in an indoor office environment, requiring sitting and repetitive hand motions.
- Frequently required to talk, hear, stand, and walk.
- Ability to work beyond a continuous 8-hour shift when necessary.
- Ability to work under pressure, maintain accuracy, and focus on multiple tasks simultaneously.
- Must have corrected vision to read and interpret visual information across various media.
- Must be able to communicate clearly over the phone.
- Must be in good physical health as verified by a licensed physician, with no evidence of controlled substance use.
Work Environment:
- While performing job duties, the employee may be exposed to moving mechanical parts and airborne particles. The noise level in the work environment may vary from quiet to moderately loud.
