POSITION SUMMARY:
The Elephant Butte Irrigation District is seeking a dedicated individual to assist in the procurement of goods and services for various departments in accordance with established regulations. This role encompasses a range of general and specialized tasks related to purchasing and customer service, ensuring effective collaboration with both internal departments and external vendors.
KEY RESPONSIBILITIES:
- Deliver exceptional customer service through effective communication with management, staff, and suppliers.
- Maintain an organized system for tracking outstanding and completed requisitions, purchase orders, and returns, both manually and within the procurement software.
- Escalate issues requiring policy clarification or technical knowledge to management for resolution.
- Learn and comply with procurement processes as outlined by relevant regulations.
- Prepare and process purchase orders, coordinate vendor shipments, and ensure accurate documentation throughout the procurement cycle.
- Solicit competitive quotes from approved suppliers when necessary.
- Authorize purchases within designated limits.
- Address inquiries related to inventory and purchasing matters within the scope of authority.
- Assist in the receipt of goods and resolve any discrepancies in shipping or product quality.
- Maintain a clean and organized warehouse environment.
- Perform accurate mathematical calculations and data entry tasks.
- Support periodic inventory checks and reconciliations.
- Ensure inventory is well-organized and in good condition.
- Utilize a District vehicle to pick up orders from vendors as required.
- Verify the return of cores as necessary.
- Adhere to all departmental and organizational policies and procedures.
- Maintain regular attendance during scheduled shifts.
- Collaborate effectively with team members to achieve departmental goals.
- Execute additional duties as assigned.
QUALIFICATIONS:
Applicants should possess a high school diploma or equivalent, along with knowledge and experience in public sector purchasing and procurement regulations. A minimum of two years of experience in purchasing and materials management is preferred. Proficiency in data entry and Microsoft Office software is essential. An associate's degree or higher in a related field is advantageous. Bilingual capabilities (English/Spanish) are preferred to enhance communication when necessary.
PHYSICAL REQUIREMENTS:
Candidates must be able to navigate the work environment effectively, frequently lifting or repositioning materials weighing up to 50 pounds. Strong verbal and written communication skills are necessary, along with the ability to operate office and warehouse equipment. Vision requirements include the ability to read and focus on documents for extended periods. The role involves both indoor and outdoor work, with varying temperature conditions.
