Job Description

Essential Job Functions:

  1. Greet patients and families, schedule appointments, and ensure timely action.
  2. Answer phone calls promptly and direct calls appropriately, taking accurate messages and delivering them to the right individual.
  3. Schedule future appointments, tests, and referrals as ordered by physicians.
  4. Maintain communication resources, including on-call schedules, MD phone numbers, and beeper numbers.
  5. Prepare charts for new patients, ensuring all required forms are placed appropriately.
  6. Request medical records and perform chart preparation to provide physicians with necessary information.
  7. Reconcile encounters daily according to policy and guidelines.
  8. Monitor supply inventory, complete requisitions for supplies, forms, equipment, or services.
  9. Perform various clerical duties, including faxing, photocopying, filing, and mailings.
  10. Obtain, verify, and update patient information, maintaining confidentiality according to policies.
  11. Accurately complete necessary forms for patients.

General Job Functions:

  1. Demonstrate a working knowledge of booking and scheduling inpatient, outpatient, and special procedures.
  2. Arrange for specialty equipment and services.
  3. Interact with outside vendors and contracted services.
  4. Demonstrate understanding of submission of necessary documents for hospitals.
  5. Verbalize procedures for collection of pre-admission testing data.
  6. Demonstrate a working knowledge of insurance and pre-certification requirements.
  7. Arrange and distribute schedules.
  8. Maintain office supplies and equipment.
  9. Provide training to other office staff.
  10. Log surgical procedures.
  11. Maintain scheduling systems.
  12. Demonstrate customer service skills to alleviate patient anxiety.
  13. Communicate repair orders to appropriate personnel.
  14. Demonstrate good judgment in scheduling procedures to increase physician productivity.
  15. Demonstrate understanding of fire safety and emergency procedures.

Education, Certification, Computer, and Training Requirements:

  • High School Graduate or GED required; Associate Degree preferred.
  • Heartsaver certification within 30 days of hire.
  • Previous PSR experience and office experience preferred.
  • Ability to communicate in English, both orally and in writing.
  • Excellent interpersonal and customer service skills.
  • Accurate computer data entry skills.
  • Ability to organize and perform multiple tasks in a timely manner.
  • Knowledge of medical office and terminology preferred.
  • Basic proficiency in computer use required.

Travel:

Ability to commute to satellite offices as needed.

Compensation:

The provided compensation range is based on industry standards and salary determinations will be made based on numerous factors, including years of experience and location of position.
