Job Title: Accounts Payable Specialist

Cruz Management Company Inc is seeking an experienced Accounts Payable Specialist to join our team. As a key member of our finance department, you will be responsible for providing support and assistance to the Property Accountants and Controller.

Key Responsibilities:
  • Handle vendor correspondence via phone or email, ensuring timely and effective communication.
  • Investigate and resolve discrepancies and other problems associated with processing of invoices, maintaining accuracy and attention to detail.
  • Prepare and request vendor payments in accordance with company payment terms, ensuring compliance with tax regulations and requirements.
  • Match invoices to checks and obtain all signatures for checks, maintaining a high level of accuracy and efficiency.
  • Respond to all vendor inquiries, update and maintain vendor database, and maintain files and documentation such as vendor contracts.
  • Review new vendor requests and certify they comply with tax regulations and requirements, ensuring compliance and accuracy.
  • Create and maintain a file system to easily access vendor documents, ensuring organization and efficiency.
  • Post customer payments and apply payments to the appropriate invoices in Yardi, maintaining accuracy and attention to detail.
  • Assist with month-end closing, post expense accruals and journal entries to general ledger, ensuring timely and accurate completion.
  • Check invoices for accuracy, register, match, and post invoices in Yardi, maintaining a high level of accuracy and efficiency.
  • Process and enter all invoices on a timely basis, ensuring compliance with company payment terms.
  • Ensure new vendors have W9s on file, information is entered correctly, and tax ID verified for 1099s, maintaining compliance and accuracy.
  • Reconcile vendor statements monthly and handle vendor and internal inquiries, ensuring timely and effective communication.
  • Assist with monthly, quarterly review and annual audits, ensuring compliance and accuracy.
  • Assistance in preparation for 1099s and 1096s for Tax reporting, ensuring timely and accurate completion.
  • Review and reconcile statements received, ensuring accuracy and attention to detail.
Requirements and Qualifications:
  • Associate or Bachelor's degree or equivalent 3-4 years of relevant experience in Accounts Payable or Accounting.
  • Proficiency in Excel, Yardi, or similar accounting software.
  • Knowledge of general administration and bookkeeping.
  • Excellent analytical, data entry, and accuracy skills.
  • Effective verbal and communication skills.
  • Ability to work under pressure in a fast-paced environment.
  • Effective time management and organization skills.
  • Ability to work under minimal supervision.
  • Ability to work in an environment with a diverse group of people.
