POSITION REPORTS TO: Director of Aviation
POSITIONS SUPERVISED: None.

POSITION PURPOSE: To support the Airport Director in all facets of managing the airport operations.

ESSENTIAL FUNCTIONS AND BASIC DUTIES:
  • Oversee the preparation of invoices, reports, memos, letters, financial statements, and other documentation utilizing word processing, spreadsheet, database, and presentation software.
  • Manage office expenditures and fulfill all reporting requirements.
  • Utilize spreadsheets to monitor fuel, oil, and pilot supply sales while maintaining inventory.
  • Administer all hangar and land leases.
  • Maintain and supervise electronic time records for airport personnel.
  • Oversee pavement management and wildlife management initiatives.
  • Assist the Director in all aspects of project management.
  • Supervise seasonal staff and airport interns as needed.
  • Audit daily ticket sales and other financial documentation.
  • Manage all relevant documents, records, and reports, including lease agreements.
  • Ensure records and spreadsheets are maintained to meet periodic inspections and preventative maintenance standards.
  • Act as interim manager during the Director's absence.
  • Market and promote the airport.
  • Coordinate monthly airport fly-ins.
  • Provide support to other departments as necessary.
  • Perform additional duties as required.

PERFORMANCE MEASUREMENTS:
  • Ensure the airport operates smoothly and efficiently.
  • Understand and adhere to policies and procedures outlined in the purchasing manual, personnel manual, and safety manual.
  • Maintain compliance with FAA and DOT regulations.
  • Deliver excellent customer service to the public.
  • Ensure timely and efficient supply orders are placed, providing staff with necessary materials.
  • Organize, file, and retrieve records efficiently.
  • Keep lease agreements current.
  • Foster effective working relationships with City personnel.
  • Ensure new employees receive proper training and support.
  • Adhere to applicable safety policies.
  • Maintain the City's professional reputation.

QUALIFICATIONS:
EDUCATION/EXPERIENCE: Bachelor's degree in aviation management or a related field preferred.

CERTIFICATES/LICENSES: Additional related training preferred.

REQUIRED KNOWLEDGE:
  • Administration and Management: Familiarity with business management practices, marketing, and resource coordination.
  • Public Safety and Security: Knowledge of relevant equipment, policies, procedures, and strategies for effective local security operations.
  • Customer and Personal Service: Understanding of principles and processes for delivering customer and personal services.
  • English Language: Proficiency in the structure and content of the English language, including spelling, grammar, and composition rules.
  • Computer: Proficient in personal computer skills, including email, record-keeping, database activities, spreadsheet development, word processing, and graphics.
  • Specialized: Strong knowledge of the aviation industry and terminology.

WORK SCHEDULE/HOURS: Regular 8-hour shifts, typically Monday through Friday, with occasional weekend and evening hours.

WORK CONDITIONS: Well-lit, climate-controlled indoor office environment with adequate ventilation.

NOISE LEVEL: Moderate noise typical of a business office setting.

ADVANCEMENT CRITERIA:
  • INTERMEDIATE: Proficient knowledge of airport operating procedures and relevant FAA regulations.
  • ADVANCED: 7+ years of specialized experience and advanced knowledge of airport operations.
