Position Overview: The Payroll Operations Specialist plays a crucial role in ensuring the precise and prompt management of payroll for multiple clients, while adhering to various state employment and taxation regulations.

Reporting Structure: Reports directly to the Director of Human Resources.

Key Responsibilities:

  • Guarantees the accurate and timely execution of payroll for designated clients, encompassing new hires, terminations, salary adjustments, benefits, garnishments, taxes, and other payroll-related modifications.
  • Handles off-cycle payrolls as required.
  • Issues checks or direct deposits to rectify payroll discrepancies or upon final termination.
  • Reconciles payroll entries with the general ledger.
  • Conducts monthly, quarterly, and annual payroll reconciliations to contracts, providing precise payout details for the finance department's review.
  • Develops and maintains annual payout reconciliations for all payrolls.
  • Reconciles quarterly tax submissions for all federal, state, and local taxes across various states.
  • Creates and maintains late hire calculation spreadsheets for clients.
  • Establishes payroll calendars for clients.
  • Prepares and maintains accurate documentation and reports of payroll transactions.
  • Ensures adherence to federal, state, and local payroll, wage, and hour regulations.
  • Facilitates workers' compensation audits as necessary.
  • Reconciles W-2 forms.
  • Performs additional duties as assigned by the manager.

Required Skills and Qualifications:

  • Comprehensive understanding of payroll processes, including preparation, balancing, internal controls, and payroll taxation.
  • Familiarity with multi-state compliance regulations.
  • Proficient in payroll software or capable of learning new systems efficiently.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong analytical and problem-solving capabilities.
  • Proficient in Microsoft Office Suite or similar software.

Education and Experience:

  • High school diploma or equivalent required.
  • A minimum of five years of payroll experience, with at least one year in accounting or bookkeeping preferred.
  • Payroll certification is preferred or the ability to obtain it within one year.
