Job Summary:

This is a temporary Executive Administrative Assistant role that will cover a maternity leave. The contract length is approximately 3-4 months, with a hybrid (remote and office) work arrangement. The position requires at least 3 days of work in the Farmington, CT office.

Key Responsibilities:

  • Act as an executive administrative assistant for multiple high-level executives.
  • Interface with all levels of the organization professionally and effectively.
  • Analyze complex information and requests to ensure timely and successful outcomes.
  • Handle sensitive information with confidentiality and professionalism.
  • Maintain schedules and materials for meetings and conferences.
  • Participate in preparation for leadership meetings, including agenda development and logistical arrangements.
  • Prepare communications and materials for executive meetings.
  • Schedule domestic and international travel and make logistical arrangements.
  • Process purchase orders and invoices.

Qualifications:

  • 10+ years of progressive administrative experience supporting senior executives.
  • Excellent communication skills, both written and verbal.
  • Ability to communicate effectively with a hybrid workforce via videoconference and related technologies.
  • Proficient in handling executive customer inquiries and directing them to appropriate colleagues for resolution.
  • Thrives in a fast-paced, collaborative environment.
  • Takes initiative and influences others to achieve common goals.
  • Highly organized with strong attention to detail and ability to manage multiple priorities.
  • Project management experience with a focus on time and task management.
  • Experience managing budgets and moderate to strong skills with Microsoft Office.
