The Branch Coordinator role at CenterWell Home Health is a dynamic opportunity to provide exceptional support to our medical records and billing department. As a key member of our team, you will be responsible for coordinating telephone and personnel communication systems, managing agency supplies and mail, and processing accounts payable. Depending on branch census, you may also be assigned additional duties to ensure seamless operations.
Key Responsibilities:
- Prepare patient assessment packets, including admission, recertification, and post-hospital packets, to ensure accurate and timely documentation.
- Process signed and unsigned orders and 485s, adhering to Medicare guidelines and agency policies.
- Monitor the Order Tracking Report weekly and reprocess unsigned orders as necessary to maintain compliance.
- Date stamp received documents, excluding SOC paperwork and paper visit notes, and scan them into client charts within 24 hours.
- Fax discharge/transfer summaries and episode detail summaries to physicians as tasks appear on the action screen.
- Copy documentation and assist with ADR preparation to ensure accurate and timely claims processing.
- Update HCHB and computer programs as required to maintain accurate records and ensure seamless operations.
- Complete End of Period claim workflow as part of Billing Specialist responsibilities, confirming signed orders and coordinating with the administrative team to release claims timely.
- Adhere to and participate in Agency's mandatory HIPAA/Privacy Program and Employee Compliance Program to maintain confidentiality and integrity.
- Read and adhere to all Agency Policies and Procedures and follow Employee Handbook Guidelines to ensure compliance and professionalism.
- Manage incoming telephone calls in a professional manner, screening and routing calls to the appropriate agency staff.
- Maintain and administer the phone system, including adding/revising voice mail boxes and managing the accurate employee phone roster.
- Process incoming and outgoing mail, ensuring timely and secure delivery.
- Manage and order office supplies, including agency-specific forms, as needed to maintain a well-stocked and efficient workspace.
- Manage, order, and distribute medical supplies as needed to ensure patient care and comfort.
- Assist the Billing Department with EOE billing tasks to ensure accurate and timely claims processing.
- Manage and process all accounts payable, routing to the appropriate corporate department as needed to maintain accurate and timely payments.
