Job Summary:This role is responsible for providing administrative and coordinating support to Project Executives, Project Managers, and field supervision in the construction projects, ensuring seamless project execution and timely delivery.
Key Responsibilities:- Produce and manage subcontract agreements, change orders, purchase orders, and purchase change orders for all assigned projects, maintaining accurate records and ensuring compliance with company policies.
- Manage project drawing logs, download drawings and specifications into Procore software system, and log billings into billing tracking sheet, ensuring data accuracy and integrity.
- Provide support to Project Managers in gathering backup information for billings and produce compliance reports for all active projects, facilitating effective project monitoring and control.
- Communicate with vendors and subcontractors to confirm payments and request receipt of project close-out documentation, maintaining positive relationships and ensuring timely project closure.
- Perform data entry of project estimates, approved owner change orders, and produce O&M manuals for owners, ensuring accurate and timely project documentation.
- Take meeting minutes, provide front desk relief, and perform additional assignments as directed by supervisors or VP of Operations, demonstrating flexibility and adaptability.
- High school diploma required; minimum one year of work experience in a construction environment, with a strong understanding of project coordination principles and practices.
- Excellent oral and written communication skills, with competencies in business writing, grammar, and spelling, enabling effective communication with stakeholders.
- Excellent organizational, multi-tasking, and planning capabilities, with good interpersonal skills and customer-service orientation, ensuring seamless project execution and stakeholder satisfaction.
- Ability to perform basic mathematical calculations using a calculator and produce quality work in an efficient manner with little supervision, demonstrating attention to detail and accuracy.
- Good computer skills, including Microsoft Word, Excel, Outlook, and internet-based applications, enabling efficient data management and communication.
This is a sedentary job with occasional lifting of up to 30 pounds, standing, walking, kneeling, squatting, and climbing required, ensuring a safe and healthy work environment.
