Job Description

General Position Summary: The Safe Environment Coordinator plays a crucial role in ensuring the effective management of the parish's Safe Environment Program. This position collaborates closely with parish leadership and staff to address data management needs efficiently. Under the guidance of the Pastor or Pastoral Administrator, this individual is responsible for the daily administrative functions of the Safe Environment Program.

Principal Accountabilities:

  • Serve as a strong advocate for the Safe Environment Program within the Diocese.
  • Represent the parish at Diocesan meetings concerning Safe Environment programs and issues.
  • Act as the primary contact for processing volunteer applications.
  • Oversee the Safe Environment Program filing system, ensuring compliance with audit guidelines and retention criteria.
  • Maintain confidentiality regarding applicants' criminal background and other sensitive information.
  • Regularly update and manage Safe Environment database records, including background checks and training compliance.
  • Inform ministry supervisors about volunteer training certifications and re-certification requirements.
  • Conduct routine monitoring of the database to verify the eligibility status of all staff and volunteers.
  • Correct any inaccuracies found in the database.
  • Support the parish's compliance efforts during the annual audit of the Safe Environment Program.
  • Provide clerical and secretarial support to the Pastor or Business Manager as needed.
  • Offer receptionist services for the parish office, including message recording and responding to routine inquiries.
  • Assist in maintaining the parish calendar.
  • Take on additional projects and tasks as assigned.

Supervision Given and/or Received:

  • Reports directly to the Business Manager.

Internal Contacts:

  • Engage with parish staff, parishioners, and volunteers.

External Contacts:

  • Communicate effectively with volunteers and staff from other churches and diocesan employees.

Working Conditions and/or Physical Requirements:

  • This role is primarily office-based but may involve stress due to evolving business needs and tight deadlines.
  • Data entry tasks require frequent hand and wrist movements.
  • Ability to lift items up to 35 pounds independently and up to 60 pounds with assistance.

Travel Requirements:

  • Occasional travel may be necessary, up to 15%.

Education and Experience Preferred:

  • A High School Diploma or equivalent is required.

Knowledge and Skills Preferred:

  • Strong understanding of fundamental database concepts, including input, storage, retrieval, and reporting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is essential.
  • Excellent interpersonal skills for interacting with diverse individuals.
  • Ability to address practical problems with various concrete variables.
  • Commitment to maintaining confidentiality in all job-related matters.

Bilingual (English/Spanish) skills are preferred.
