Site Data Entry Coordinator

We are seeking a highly skilled and organized Administrative Support Specialist to join our team at AXG Contracting. The successful candidate will provide administrative support to our Site Construction Director and other executive-level staff, ensuring seamless day-to-day operations.
Key Responsibilities- Provide administrative support to the Site Construction Director and other executive-level staff, including clerical activities and related tasks.
- Anticipate and meet the needs of the Site Construction Director, acting proactively to bring together appropriate people and resources to support leadership in addressing issues.
- Provide information to the project and plant Leadership Team to enable consistent decision-making, serving as a liaison between other parties and the Site Project Manager and Plant Manager.
- Arrange meetings, develop itineraries and agendas, book transportation, arrange meals, lodging, and meeting accommodations.
- Manage calendars, calls, and other appointments, resolving scheduling conflicts.
- Exercise independent judgement and discretion on sensitive and confidential projects and assignments.
- Prepare and transmit correspondence, presentations, charts, tables, and other memoranda using MS Word, Excel, PowerPoint, and Outlook, ensuring documents are error-free and grammatically correct.
- Enter project cost data into company software.
- Provide overviews of cost and WBS elements to the Site Construction Director.
- Enter purchase requisitions on behalf of the site construction team and Site Construction Director.
- Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining corporation of others, monitoring progress, problem-solving, and adjusting plans.
- Update job knowledge by participating in educational opportunities, reading professional publications, maintaining personal networks, and participating in professional organizations.
- Improve quality results by studying, evaluating, and re-designing processes, suggesting and implementing changes.
- Manage and retain files, documentation, and other important records up-to-date and current, ensuring confidentiality.
- Provide occasional administrative support to other staff as directed.
- High school diploma or equivalent required.
- Bachelor's Degree, highly preferred or equivalent experience required.
- Experience supporting executive-level staff.
- Past SAP experience is preferred.
- Advanced administrative skills and knowledge.
- Superior verbal/written skills and presentation skills.
- Ability to manage multiple, rapidly evolving priorities in a dynamic, high-growth operation with professionalism and confidentiality.
- Personable, self-directed, collaborative.
- Excellent interpersonal relationship building.
- Ability to promote process improvement.
- Detail oriented and highly organized.
- Proactive and independent with the ability to take initiative.
- Excellent time management skills with a proven ability to meet deadlines.
- Must have strong computer skills and be proficient in Microsoft Suite (Outlook, Word, Excel, and PowerPoint).
