Job Overview

Position Summary

The Junior Project Coordinator plays a vital role in overseeing small-scale events or segments of larger projects as designated. This role involves tracking progress and performance in alignment with the project timeline, addressing operational challenges, and mitigating delays. The Junior Project Coordinator will facilitate the successful delivery of events by adhering to Technical and Production Standards while aiding in the establishment of processes and SOPs that ensure consistency in event execution. Collaboration with the Project Manager, Senior Project Manager, or Associate Director of Project Management is essential, along with effective communication of onsite event execution strategies.

Key Responsibilities

Event Project Coordination

• Assist in formulating and implementing a comprehensive work plan for a segment of an event or a minor project, detailing the necessary activities for successful completion.

• Evaluate and propose recommendations regarding equipment and labor needs for the event, coordinating closely with the Project Management team.

• Assess and manage project risks to guarantee client satisfaction while ensuring adherence to Technical and Production Standards.

• Cultivate and maintain robust relationships with clients across all organizational levels, delivering exceptional customer service with a focus on client retention.

Event Implementation

• Oversee the technical components of the event, providing intermediate to advanced troubleshooting and problem-solving during the setup, operation, and dismantling of basic to advanced large-scale audio-visual systems.

• Assist in scheduling the delivery and collection of equipment for the assigned event.

• Troubleshoot and resolve issues related to audio-visual and IT equipment.

• Engage with clients onsite to ensure their requirements are met and that the equipment setup functions effectively.

• Monitor events and check in on sessions throughout the day.

Financial Oversight

• Track cost control measures and communicate challenges to the Project Management team.

• Support the Project Management team in securing local internal resources to reduce external expenditures.

• Ensure compliance with Encore Policies and Procedures to minimize the company's exposure to liability claims and property damage.

Administrative Duties & Training

• Complete Encore's post-event procedures, including all post-show reporting, confirming accurate entry of workforce hours, and ensuring that outsourced equipment is returned to the appropriate provider.

• Assist in the training and development of technicians to enhance customer experience.

• Achieve Technical Level 3 Certification as per Encore's Technical Skill Set Matrix within the designated timeframe.

Qualifications

• BA/BS Degree or equivalent experience.

• 2+ years of experience in audio-visual or related technical fields.

• 1+ years of experience in an onsite crew role.

• Preferred background in venue audio-visual and strong technical expertise.

• Excellent client relationship management skills.

• Strong written and verbal communication abilities.

• Ability to perform well under pressure.

• Capacity to manage complex job functions in a fast-paced environment.

• Proficient problem-solving and troubleshooting skills.

• Required experience with MS Office.

• Willingness to travel up to 50% may be necessary.

Work Environment

The work is conducted in a hotel/event venue setting, with moderate exposure to outdoor conditions and elements such as dirt and dust. Working conditions may vary from moderately quiet to noisy environments. Team members will utilize high-end audio-visual equipment and electrical components, and may be required to work at heights using lifts and ladders. Team members may be assigned to multiple locations and must be prepared for irregular hours, including evenings, weekends, and holidays. Adherence to appearance guidelines set by Encore is expected based on the venue or a representation of venues in the area.
