Position Summary
This role is crucial for ensuring the efficient and precise management of physician directives, while also alleviating the nursing team from administrative and reception responsibilities.
Key Responsibilities
The primary duties of this position include:
- Accurate processing of healthcare provider orders utilizing the designated electronic health record system.
- Proactively addressing inquiries related to orders and regularly reviewing charts for pending orders.
- Organizing admission documentation in the correct sequence and ensuring proper labeling with patient identifiers.
- Updating necessary forms, including the Admission Face Sheet and patient contact information.
- Preparing specialty charts for various departments such as obstetrics, pediatrics, and transitional care.
- Welcoming visitors, guiding them to their destinations, and responding to inquiries in a professional manner.
- Managing inventory levels and maintaining adequate supplies by ordering from the storeroom as needed.
- Ensuring the filing system is orderly and that copies of chart forms are consistently updated.
- Keeping the staff book current with new admissions and entering relevant information in the Census Book.
- Initiating patient charts with appropriate labels indicating provider, name, room number, and patient status.
- Verifying chart completeness, including admission orders and correctly labeled forms.
- Maintaining relevant records in the dictation area until patient discharge.
- Completing infection control documentation for patients prescribed antibiotics.
- Preparing discharge instructions using the designated system and coordinating follow-up appointments.
- Assisting in the collection of necessary documents for the Utilization Review Process.
- Returning outdated charts to the Health Information department.
- Consistently faxing required information to appropriate destinations, including pharmacies and home health services.
- Making necessary phone calls to coordinate patient transfers and manage ambulance requests.
- Photocopying patient charts for transfers and ensuring all copies are properly labeled.
- Maintaining call schedules and ensuring the daily call board is up to date.
- Utilizing office equipment and medical record systems efficiently.
- Documenting trauma cases as delegated.
- Answering phone calls in a friendly and professional manner.
- Delivering messages to staff promptly and accurately, functioning as a switchboard operator when necessary.
- Paging the on-call surgical team as needed with precision and timeliness.
- Upholding confidentiality in all aspects of the role.
Qualifications
- High School diploma or equivalent.
- Strong communication skills across various disciplines.
- Ability to collaborate effectively within a team environment.
- Attention to detail, organizational skills, and the ability to prioritize tasks.
- Proficiency in computer applications, including Word and Excel.
- Desirable clerical skills and familiarity with medical terminology.
