Your Responsibilities:

As a Project Coordinator, you will oversee a range of tasks that ensure our projects remain on schedule and our team remains aligned.

  • Project Setup & Documentation: Create and manage project entries and filing systems in accordance with the Project Execution Manual. Prepare and maintain the "Project Book" to organize crucial project documents.
  • Collaboration: Partner closely with the Project Manager (PM) and Assistant Project Manager (APM) to coordinate project entry documents and facilitate seamless project execution.
  • File Management: Establish and maintain project files on the company’s shared drive, ensuring accessibility for all team members.
  • Meeting Support: Assist in scheduling project meetings, documenting minutes, and ensuring follow-up on action items.
  • Subcontractor Coordination: Help define the scope of subcontracted work, verify vendors, and ensure all necessary Certificates of Insurance are current and complete.
  • Logistics Support: Aid the APM with the shipment of materials to job sites and manage the uploading of site completion images.
  • Data Management: Verify and input data into tracking spreadsheets to ensure compliance with the Scope of Work.
  • Contract & Documentation Support: Assist in addressing contract-related inquiries by liaising with the APM and facilitate the distribution of documents to ensure all parties have the latest updates.
  • Procurement: Prepare purchase orders for essential construction supplies and materials as directed by the PM or APM.
  • Communication: Serve as the primary office contact for the Project Team, providing documents, contact information, and general project-related details. Help maintain effective communication throughout the project lifecycle.
  • Additional Duties: Perform other related tasks as assigned to support the successful completion of projects.

Qualifications:

  • A minimum of 2 years of experience with large customer interactions is preferred.
  • Experience in a construction environment is preferred.
  • A Bachelor’s Degree, Associate Degree, or two years of relevant industry experience is preferred.
  • Must successfully pass an MVR, background check, and drug screening.
