Job Overview

The Site Supervisor will oversee the after-school program, ensuring compliance with Funders and District guidelines. This role involves providing program support, reporting, data oversight, and coordinating staff and parent meetings, as well as positive youth development activities. The Site Supervisor will also coordinate field trip logistics and bookings with the Program Lead. A Bachelor's degree is preferred, with a minimum of 2 years of experience in after-school programs and/or youth programs.

Responsibilities
  • Recruit 40 students for the program per year, maintaining a waiting list to ensure 100% contracted utilization.
  • Select eligible students for available program slots (6th, 7th, and 8th grade).
  • Ensure all student application information is completed by parents/guardians and no fields are left blank.
  • Provide the program's PARENT HANDBOOK to all student parents.
  • Create an emergency contact list for students to take on field trips in case of emergency.
  • Maintain the physical site for program activities, including tables, chairs, supplies, snacks, etc.
  • Create individual file folders for each student enrolled in the program, keeping them under lock and key.
  • Submit weekly physical attendance logs to Be Strong office every Friday.
  • Turn in completed and signed bi-weekly timesheets, following the Be Strong payroll schedule.
  • Supervise and administer required assessments as per Scope of Services, ensuring all assessments/surveys are administered to youth and parents when BSI requires.
  • Schedule staff (paid and volunteer) to maintain a 1:15 staff/student ratio.
  • Create plastic-laminated emergency evacuation maps and post them in each classroom used for the program.
  • Create emergency posters (nearest hospital, fire, police, poison control, switchboard).
  • Schedule necessary drills as indicated in the Private Provider Operational (PPO) Handbook.
  • Submit requests for supply orders to the Program Lead.
  • Schedule quarterly parent engagement events.
  • Act as liaison to school personnel (to maintain grade reports and monitor student progress).
  • Attend Be Strong training and meetings to improve professional skills and enhance program activities.
  • Coordinate and schedule 2 field trips per year with the Program Lead.
  • In case of emergency, consult the Student Emergency Contact form for information on allergies, medical, and doctor information, parent notification, and authorized student pick-up.
  • Complete incident/injury reports thoroughly and sign by staff, witnesses, and Site Supervisor on the same day as the incident occurs and scan to BE STRONG by the end of the program day.
  • Safeguard student confidentiality and family information, especially medical conditions and student academic performance.
  • Follow safety protocols set by Before and After School Child Care (BASCC) and the Private Provider Operational (PPO) Handbook.
  • Follow Quality Standards Program Safety Check List to prepare for unannounced safety visits.
  • Capture daily attendance with sign-in and sign-out signatures through the electronic sign-out system PDMS.
  • Adhere to and implement all additional requirements as stipulated by the Before and After School Child Care (BASCC) program.
  • Complete any required training before the deadline (as provided by the onboarding process or your direct supervisor upon hire).
Supervisory Administrative Responsibilities
  • Ensure each youth signs into the program site daily.
  • Ensure each youth signs out daily.
  • Ensure only authorized individuals pick up the minor child at the end of the program day.
  • Staff must have a charged cell phone and/or walkie-talkies for immediate contact in case of emergency.
  • Ensure drinking water is always available to the youth (especially during physical education activities) to protect against dehydration.
  • Ensure the safety of youth during program hours through daily, documented monitoring for safety hazards (such as broken equipment or furniture, toxic or caustic chemicals or cleaning agents) of both indoor and outdoor space.
  • Monitor the cleanliness of the bathroom facilities nearest to where the program is held and restock paper and cleaning products as needed.
  • Ensure children leave the room organized and clean for the following day.
  • Ensure teachers assist youth with daily school homework.
  • Ensure the youth's nutritional needs are met through the daily snack (or lunch/snack during longer program days).
  • Have snack paperwork ready for submission when it's due (depending on each vendor).
  • Document the development of youth's social skills (pre-test and post-test).
  • Help prepare students for improvement in their academic performance.
  • Follow the daily activity schedule approved.
  • Model and reinforce the washing of hands and cleanliness, especially before meals/snacks and after using the bathroom.
  • Place student work in their individual work folders for review by parents and program monitors.
  • Always demonstrate respect for parents (and children) and invite them to join in regular program activities and special parent events.
  • Cooperate with other staff and program enhancement providers (such as motivational speakers, arts program specialists, etc.).
  • Assist youth in the use of educational computers and notebooks.
  • If/when needed, the Site Supervisor can assign the Site Instructor to assist with above-named tasks.
Required and/or Preferred Qualifications
  • Bachelor's degree preferred.
  • English language is required (can read, write, and speak fluently).
  • Minimum 2 years of experience in after-school programs and/or youth programs.
  • Certified Teacher is a plus.
  • Available to work the required program hours.
  • Reliable personal transportation and personal cell phone.
  • Proficiency in computer skills and programs such as Microsoft Office: Word, PowerPoint, Outlook, and Excel.
  • Time Management Skills.
  • Detail-oriented. Excellent communication skills (written and verbal).
  • Must possess a sense of urgency.
  • Must be able to prioritize tasks effectively.
  • Must be able to successfully pass Level II background check.
  • Bi-Lingual (Spanish or Creole) is a plus.
Competencies

The Site Supervisor will effectively lead staff and manage program operations. This individual needs to have strong communication skills for interacting with students, parents, staff, and school personnel and building positive relationships. Attention to detail is crucial for accurate record-keeping and compliance with guidelines. Problem-solving skills are required for handling emergencies and daily challenges. Effective time management and adaptability are needed for various duties and changing program needs.
