About Our Team

We are seeking an experienced Clinical Administrative Assistant to join our team at Mount Sinai Hospital As a Clinical Administrative Assistant, you will play a critical role in providing exceptional administrative support to our physicians and patients.

Your key responsibilities will include:

  • Providing comprehensive administrative support to a team of physicians
  • Scheduling and coordinating appointments for patients within the practice and with outside specialties
  • Managing insurance authorizations for procedures and tests ordered by physicians
  • Maintaining electronic medical records (EMRs) and entering orders into the EMR system, subject to review and approval
  • Logging and tracking test results
  • Registering and checking in patients
  • Preparation and maintenance of medical charts and/or EMRs
  • Patient chart preparation, review, and completion
  • Creation of pre-admissions and obtaining necessary consent forms for scheduling purposes
  • Correspondence retrieval and editing for physicians
  • Scheduling surgeries/procedures and collaborating with the Surgical Coordinator team to verify patient times and prepare necessary documentation
  • Mail correspondence preparation and retrieval for physicians
  • Patient flow direction during practice hours and rooming patients
  • Discussion of payment arrangements with patients before office procedures/visits, in coordination with the surgery finance authorization team
  • Supply ordering, management, and storage
  • Copayment collection, account balance handling, and insurance referrals
  • Specimen processing for in-office procedures, including requisition completion and specimen transport to the correct department
  • Credentialing assistance as needed
  • Billing package compilation (e.g., surgical encounter forms, insurance info, consents)
  • Schedule management, adjustment, and confirmation
  • Revenue cycle process participation
  • Medical scribe functions
  • Payment posting and record keeping
  • Physician schedule opening and closing, template creation/maintenance
  • Variety of screening and confirmation calls before clinic sessions
  • Staff schedule management and coverage assistance
  • Qualified candidates may also perform Medical Assistant duties, such as venipuncture/EKGs, patient escorting, and other clinical tasks
  • Supporting physicians with procedures, vital sign capture, instruction provision, and phone communication
  • Performing additional duties as assigned
Requirements
  • Associates degree or High School Diploma/GED + 2 years of relevant experience; graduate of a Medical Assistant program for clinical roles; certified Medical Assistant for MA duties
  • At least 5 years of administrative experience in healthcare/practice settings
