Administrative Support Specialist II

We are seeking a highly skilled Administrative Support Specialist II to join our team at the Virginia Department of Social Services. As a key member of our staff, you will provide administrative support for executive-level administrators by coordinating various functions and projects.
Job SummaryThe successful candidate will be responsible for providing high-level administrative support, including coordinating confidential projects, managing daily office operations, and handling problems and negotiations with vendors. You will also research information, prepare reports, and relay information as needed. Additionally, you will monitor budget transactions and coordinate departmental financial and budget information and transactions.

- Respond to inquiries and complaints from citizens and others regarding operations or problems related to administrative policies.
- Bachelor's degree in business administration or a related field, or an equivalent combination of education and experience.
- Minimum 1 year of experience in an administrative role, preferably in a social services or government agency.
- Strong knowledge of office systems, practices, and administrations, as well as business English, basic math, and programs, operations, and administrative policies and procedures.
- Excellent communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.
- Previous work experience with local Department of Social Services is desirable.
- Supervisory experience or work experience in a leadership role.
- Tyler Munis, Kronos, Thomas Brothers, Laserfiche, and LHRC experience preferred.
- Understanding of Human Resources and administering employee benefits.
- Enter procurement orders for division utilizing state systems.
- Maintains p-card in accordance with all state and county guidelines.
- Process personnel transactions.
- Process fiscal transactions.
- Effectively communicate with various staffing levels.
- Ensure compliance with state & agency regulations.
- Provide superior customer service to internal and external customers.
- Lead other staff on administrative processes.
- Exercise discretion, confidentiality, and judgement when accessing administrative files/transactions.
The estimated salary for this position is $55,000 - $90,000 per year, depending on qualifications and experience. The Virginia Department of Social Services offers a comprehensive benefits package, including health insurance, retirement plan, and paid time off.
This position requires a valid Virginia driver's license without restrictions and a level of insurability set by the agency. Applicants may be subject to a Criminal History Background search, Central Registry search, DMV/driving record check, and/or pre-employment drug screen.
