Job Overview

The primary duty of the Mailroom Operations Specialist is to efficiently manage and facilitate the flow of incoming and outgoing correspondence within the organization. This role encompasses receiving mail from postal services, sorting it appropriately, and ensuring timely distribution across various departments. The specialist is also responsible for preparing daily mail dispatches and maintaining adequate supplies in the mail and copy area.

Compensation: $14.42 per hour.

Employment Type: Part-time, 20 hours per week.

Work Schedule: Day shift, 0.5 FTE.

Qualifications and Skills Required:

  • Education: No formal education required.
  • Experience: No prior experience necessary.
  • Essential Skills:
    • Proficient reading abilities
    • Basic computer literacy, including document printing
    • Effective written and verbal communication
    • Capability to work independently
    • Ability to adhere to deadlines
  • Driving Requirements: Not applicable.
  • Preferred Qualifications:
    • At least six months of experience in a mailroom setting.

Key Responsibilities:

  • Sort and organize incoming and outgoing mail.
  • Utilize automated postage machines to weigh mail for accurate postage.
  • Open and process mail addressed to the office, discarding any junk mail.
  • Time/date stamp all incoming and outgoing correspondence.
  • Deliver mail to designated departments and mailboxes.
  • Collaborate with transportation services for inter-office mail delivery.
  • Complete change of address and mail hold requests.
  • Operate multi-function printing equipment.
  • Maintain cleanliness and organization in the mail and copy room.

Additional Duties:

  • Perform other job-related tasks as assigned.
  • Assist departments with printing, collating, and stapling tasks.
  • Fulfill any other responsibilities as directed.

Physical and Mental Demands:

  • General Office Work: Frequent use of computers and technology; involves data interpretation, decision-making, and effective communication.
  • Sedentary Work: Primarily involves sitting, with occasional standing and walking; must be able to lift up to 10 pounds.
  • Light Work: Intermittent lifting and movement; must be able to lift a minimum of 10 pounds unassisted.
  • Medium Work: Frequent lifting and movement; must be able to lift a minimum of 25 pounds unassisted.

Work Environment:
