Job Overview

Position Summary:

The Payroll Specialist is tasked with overseeing the payroll system and ensuring timely paycheck distribution. Key responsibilities include consolidating timesheet data and inputting information into payroll systems, calculating payroll amounts, and managing fund transfers to employee accounts. This role encompasses all payroll-related functions for employees across multiple states and two payroll cycles. Responsibilities also involve verifying timesheets, resolving discrepancies, reviewing benefit and tax deductions for new employees, calculating unused vacation accruals for departing staff, and maintaining data integrity within the HRIS. Reporting to the Director of Human Resources, this position plays a critical role in the payroll process.


Key Responsibilities:

  • Exemplifies the highest standards of integrity and professionalism, adhering to company policies and relevant regulations.
  • Takes full ownership of payroll processing for multi-state operations, managing both semi-monthly and weekly payrolls.
  • Reviews electronic timesheets for accuracy before payroll processing, ensuring all exceptions are addressed and approvals are secured.
  • Prepares for payroll by entering necessary HR/Payroll data into the system, including garnishments, benefit changes, and new hire information.
  • Assists in the issuance of manual paychecks as required.
  • Investigates payroll discrepancies and processes manual payments when necessary.
  • Provides payroll and timekeeping support to management and staff, promptly addressing inquiries to meet business needs.
  • Maintains accurate employee records and personnel files.
  • Oversees the administration of the human capital management platform, specifically ADP Workforce Now and ADP Workforce Manager.
  • Acts as a liaison for team members to resolve issues and support enhancements to the HRIS.
  • Prepares documentation for annual HR audits, including workers' compensation and 401k records.
  • Generates regular reports for HR and leadership, offering insights into key HR metrics.
  • Reconciles benefits between payroll and vendor invoices, including union welfare and pension statements.

Required Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, Accounting, or equivalent experience.
  • Minimum of 3 years of experience in payroll and human resources management.
  • Comprehensive understanding of full-cycle payroll processing.
  • Proficiency in payroll software, preferably ADP.
  • Strong analytical and problem-solving capabilities.
  • Excellent organizational and time management skills.
  • Exceptional attention to detail and accuracy.
  • Ability to manage sensitive and confidential information with discretion.
