Position Overview

Join our dynamic team at Model 1 Inc. as a Service Administrator, where you will be integral to our operations. In this position, you will collaborate with various professionals across departments to ensure customer satisfaction and operational efficiency.
The Service Administrator is tasked with accurately documenting customer inquiries regarding vehicle services.
This role demands exceptional customer service abilities and a solid understanding of the automotive and bus sectors.
When customers seek repairs, you will input detailed information into our software system, outlining necessary repairs, estimated timeframes, and alerting the Service Department accordingly.
This role also encompasses certain warranty responsibilities, making your communication skills essential as you are often the first point of contact for customers in the service department.

Key Responsibilities

As a Service Administrator, your duties will include:

  • Assessing vehicle condition upon arrival.
  • Engaging with customers to discuss service needs.
  • Completing work orders and necessary warranty documentation.
  • Maintaining an organized workflow and tracking vehicle status.
  • Serving as the main contact for customer inquiries related to your department.
  • Providing customers with updates on repair costs and timelines.
  • Coordinating with service management regarding quotes and service updates.
  • Ensuring positive relationships with vendors and customers alike.
  • Collaborating with sales, parts, and warranty departments as needed.
  • Assisting with warranty claims and ensuring compliance with manufacturer guidelines.
  • Maintaining communication with all repair facilities regarding estimates and approvals.
  • Documenting customer complaints accurately for technician diagnosis.
  • Handling incoming calls and maintaining vehicle tracking.
  • Performing additional tasks as assigned.

Minimum Qualifications:

  • High School Diploma or equivalent.
  • Familiarity with service and parts department operations.
  • Strong communication skills for effective customer and internal interactions.
  • Understanding of customer needs within the automotive industry.

Physical Requirements:

  • Work will occur in both office and outdoor settings.
  • Ability to perform physical tasks such as kneeling, climbing, and lifting up to 50 pounds.
  • Good manual dexterity is required.
