Job Summary:

The Imaging Specialist will play a pivotal role in overseeing the organization's document imaging processes. This position is responsible for preparing documents for scanning, ensuring accurate data entry, and maintaining high-quality standards throughout the scanning and reprographics process.

Key Responsibilities:
  • Document Preparation: Remove staples, binder clips, and other bindings to ensure documents are ready for processing.
  • Scanning and Printing: Operate scanning equipment and perform batch printing/scanning of various document types, ensuring proper organization and labeling.
  • Optical Character Recognition (OCR): Apply OCR to scanned documents to make them searchable.
  • Data Entry: Perform data entry tasks related to scanned documents, ensuring accuracy and completeness of all records.
  • Quality Control: Conduct quality control checks on scanned documents to ensure they meet the organization's standards for clarity, accuracy, and format.
  • Equipment Maintenance: Monitor and maintain scanning equipment, troubleshooting minor issues as needed to ensure seamless operations.
  • Document Organization: Assist in organizing and storing physical and digital copies of documents in compliance with company standards.
  • Team Collaboration: Collaborate with team members to complete scanning projects efficiently and on time.
  • Compliance: Follow legal and company-specific guidelines for the handling and destruction of sensitive documents.
Qualifications:
  • Experience: Minimum of 2 years of experience in a similar role, preferably within a corporate or legal environment.
  • Reprographics Knowledge: Strong familiarity with reprographics processes, including batch printing and scanning.
  • Document Preparation: Proficient in document preparation, including removing staples, binder clips, and organizing documents for scanning.
  • OCR Experience: Experience with OCR software and techniques.
  • Attention to Detail: Attention to detail and a focus on quality control in all aspects of scanning and data entry.
  • Organizational Skills: Strong organizational skills and the ability to handle large volumes of documents efficiently.
  • Communication Skills: Excellent verbal and written communication skills.
  • Teamwork: Ability to work independently and as part of a team in a fast-paced environment.
