The University of New England is seeking a highly skilled Records and Enrollment Specialist for Graduate and Professional Programs to join our Registrar's Office team. As a key member of our team, you will be responsible for ensuring the efficient and accurate management of student records and registration for all on-campus and online graduate, professional, and doctoral programs.
Key Responsibilities- Provide oversight and manage registration and enrollment tasks for online and on-campus Graduate and Professional Programs, ensuring timely completion following University policies and administrative procedures.
- Handle student requests for course additions and drops, term withdrawals, administrative withdrawals, and University or Admission withdrawals.
- Process leave of absence requests and facilitate the reactivation of students returning from an approved leave.
- Manage requests for Research, Independent, and Directed Studies.
- Generate and analyze reports to verify student registration status, ensuring all students are appropriately enrolled.
- Provide exceptional customer service to students, faculty, and staff by offering guidance on interpreting and applying university policies related to records, registration, and academic standing.
- Collaborate with Assistant or Associate Registrars to resolve complex issues related to records and enrollment.
- Serves as a resident expert in student registration and enrollment and participates in and provides cross-training for staff in other areas of the Registrar's Office.
- Performs ongoing systematic review and updating of the Standard Operating Procedures and Yearly Production Calendar specific to the Graduate and Professional student registration cycles.
- Develop and implement processes and procedures related to records and enrollment by university policies.
- Generate reports using UNE reporting software (e.g., Access, COGNOS, Insights) to monitor and analyze university-wide enrollment and curriculum data.
- Tests new software releases and upgrades and provides feedback regarding records and registration.
- Provide general support to the Registrar's Office, including front office coverage, managing phone and email inquiries, assisting with commencement processes, and verifying enrollment or degrees during peak periods.
- Bachelor's degree with at least two years' experience in a university registrar's office or a comparable combination of education and experience in an educational setting with regular interaction with various departments, including students, faculty, and staff.
- Advanced proficiency in Microsoft Office Suite, particularly Excel.
- Familiarity with Ellucian Banner or other student information systems (e.g., Ellucian Colleague, Jenzabar, Peoplesoft, Workday) preferred.
- Demonstrated experience with Access, COGNOS, or other reporting tools.
- Strong interpersonal skills and proven effectiveness in both oral and written communication.
- Ability to work effectively with diverse groups within the community.
- Capable of working independently with minimal supervision.
- Ability to maintain productivity despite frequent interruptions.
- Proficiency in multitasking, time management, and critical thinking.
- Ability to anticipate needs, plan, and manage time efficiently.
- Ability to interpret, apply, and explain university procedures and policies to students, staff, and faculty.
- Solid understanding of customer service standards and procedures.
- Ability to develop, plan, and implement short- and long-term goals.
- Professional and ethical conduct is required.
- Proven ability to maintain the confidentiality of student academic records.
- Thorough understanding of the Family Educational Rights and Privacy Act (FERPA).
