Job Title: Senior Sales Project Coordinator

At Mane USA, we are seeking a highly organized and detail-oriented Senior Sales Project Coordinator to join our team. As a key member of our sales administration department, you will be responsible for coordinating and executing all sales administrative functions, ensuring seamless communication with clients and internal departments.

Key Responsibilities:
  • Coordinate client inquiries, provide necessary information, and interface with customers on routine matters.
  • Manage sample requests, track progress, and keep sales managers informed.
  • Oversee the operational and administrative flow of all projects, including tracking interdepartmental due dates, pricing submissions, and final review of all paperwork generated.
  • Serve as a general source of project information, coordinating among all departments involved and working directly with client contacts to ensure sample needs, stability testing, product safety paperwork, shipping details, and related project timetables are communicated and met.
  • Research, retrieve, and create reports and spreadsheet analysis as required.
  • Interact with business-getting teams: Creation, Development, Technical, Marketing, and Sales to ensure effective coordination and communication.
  • Support Mane USA's values and quality policy, adhering to departmental documents such as ISO procedures manuals.
  • Ensure accuracy and timeliness of information input into GPMS.
  • Keep departments informed of project changes that may impact those departments.
  • Issue daily priority lists for projects entered and followed up upon.
  • Ensure all samples processed are labeled correctly.
  • May act as a backup to Manager, Sales Administration as necessary.
  • May also be the subject matter expert for systems-, customer-, or project-related concerns.
  • Responsible for assisting in training Sales Project Coordinators.
  • Handle special tasks and projects as requested to meet company objectives.
Requirements:
  • College degree preferred.
  • 4+ years of administrative and project management experience.
