Position Summary

The Parts Manager is tasked with overseeing a profitable and effective parts department. This role involves achieving objectives through strategic purchasing practices, inventory management, staff allocation, security measures, pricing strategies, merchandising, and promotional activities. The Parts Manager is expected to act as a financial advisor and a key contributor to profitability.

Key Responsibilities

Management Duties:

  • Set and pursue departmental goals and objectives.
  • Foster collaboration and teamwork across all departments.
  • Coordinate with the Service and Body Shop Managers to ensure timely parts availability for internal projects.
  • Develop and manage the annual budget for the parts department.
  • Participate in management meetings.
  • Stay informed about and comply with relevant regulations affecting parts sales.
  • Support customer service initiatives to surpass client expectations.

Personnel Management:

  • Recruit, train, motivate, and evaluate the performance of parts department staff.
  • Schedule and oversee the activities of all parts department personnel.
  • Provide technical support to parts department employees.
  • Conduct regular meetings to address departmental issues and enhance operational efficiency.
  • Monitor payroll records for parts department staff.

Additional Responsibilities:

  • Establish and enforce customer interaction guidelines to maximize satisfaction.
  • Address customer complaints promptly and in accordance with company policies.
  • Implement a pricing strategy that balances sales volume, customer loyalty, and operational costs.
  • Manage inventory levels to reduce obsolescence in line with manufacturer recommendations.
  • Set individual inventory targets to optimize turnover rates.
  • Oversee special order policies for parts.
  • Direct external sales efforts, including telemarketing initiatives to maintain customer engagement.
  • Supervise stock ordering processes.
  • Develop and manage a robust wholesale parts program to enhance profitability.
  • Analyze departmental workflows and storage layouts for improved efficiency.
  • Ensure timely processing of paperwork related to parts sales and orders.
  • Oversee shipping and receiving operations for efficiency.
  • Review daily performance reports and sales productivity metrics.
  • Generate and analyze Lost Sale Tracking Reports.
  • Enforce safety protocols, including training on equipment operation and compliance with safety regulations.
  • Design and implement sales promotions.
  • Utilize manufacturer co-op advertising opportunities.
  • Conduct monthly reviews of sales, expenses, and inventory to meet profit targets.
  • Ensure accurate accounting of all purchases prior to payment.
  • Monitor local parts markup percentages.
  • Verify proper tagging of parts for full credit recovery from manufacturers.
  • Assist in the collection of overdue accounts.
  • Supervise custodial staff to maintain a clean work environment.
  • Ensure ongoing training and development through online resources.

Qualifications

  • High school diploma or equivalent.
  • Ability to understand and follow instructions and information.
  • Minimum of two years in a supervisory role.
  • At least three years of experience in an automotive parts department.
  • Strong communication and leadership skills.
  • Some sales experience is preferred.
  • Capability to manage department profitability within company guidelines.
