Job Summary

We are seeking a highly organized and detail-oriented Documentation Specialist to join our team. The successful candidate will be responsible for creating, managing, and maintaining comprehensive documentation for our ingredients and packaging used at our manufacturing facilities and co-manufacturing partners.

Responsibilities
  1. Request and review documentation from ingredient suppliers, including initial documentation requests and ongoing documentation maintenance.
  2. Review, approve, and upload technical documents from co-manufacturers and ingredient suppliers for the PCB Pet team.
  3. Own the Pet QFS SharePoint site and provide oversight of the content.
  4. Set up new SMA requests within Intelex Supplier Management for the PCB pet business.
  5. Validate supplier information based on requests provided by requestors to minimize incorrect information setup and rework.
  6. Manage back and forth with suppliers until complete information is obtained.
  7. Upload documentation into Intelex Supplier Management for review by cross-functional teams.
  8. Close out SMAs within Intelex once cross-functional reviews are complete.
  9. Obtain supplier signed specs and upload to the system.
  10. Track certificates through Intelex with expiration dates and re-request expiring documentation prompted by Intelex.
Requirements
  • Four-year college degree in Food Science, Biological Sciences, Chemical Sciences, Engineering, or other related field of study.
  • Minimum of 1-2 years of experience in documentation management or a related technical background.
  • Excellent organizational and problem-solving skills.
  • Strong attention to detail and organizational skills.
  • Proficiency with documentation tools and software, such as Microsoft Office and Adobe Acrobat.
  • Ability to understand and explain complex technical concepts in a clear and concise manner.
  • Savvy computer skills to build dashboards, reports, and SharePoint sites.
  • Collaborative with all levels of the organization.
  • Ability to compile, analyze, and present collected data in summary form.
  • Ability to communicate technical, scientific, and regulatory information, both written and verbally.
