Equipment Parts Coordinator

Position Overview:
The Parts Inventory Specialist plays a crucial role in delivering exceptional service to municipal staff requiring parts and equipment for their operational needs. This position involves supporting inventory management, performing data entry tasks within inventory systems, and providing customer assistance. Additionally, the specialist may be required to operate a company vehicle for parts procurement.
Key Responsibilities:
- Customer Service Excellence:
Deliver high-quality service by:
- Paying close attention to detail
- Familiarizing oneself with and adhering to company SOPs and safety protocols
- Welcoming and assisting customers
- Ensuring requisition forms are accurately completed (including signatures, timestamps, part numbers, descriptions, and quantities)
- Responding to inquiries about parts availability
- Asking pertinent questions to guarantee accurate parts identification
- Notifying customers when requested parts are ready for collection - Parts Procurement:
On occasion, operate a vehicle to designated locations for parts acquisition, ensuring:
- Proper documentation is provided to vendors (e.g., tax-exempt forms, credit references)
- All invoices are reviewed for pricing and quantity accuracy
- Timely return of products to the company location - Data Management:
Assist in:
- Generating invoices for customer requisitions within the inventory system
- Entering vendor receiving documents into the inventory system - Inventory Oversight:
Support the execution of:
- Weekly inventory cycle counts
- Comprehensive counts during full inventory assessments - Additional Duties:
Follow established protocols for vehicle and equipment upkeep, provide emergency support at the city location, travel for parts pickup, assist with inventory research projects, comply with required procedures, operate a forklift, and participate in ongoing training programs.
Qualifications:
- Minimum of 1 year of computer experience
- Availability for 24-hour support
- Valid driver's license with at least two years of driving experience
- 1 year of experience with automotive or heavy-duty truck parts
- Ability to obtain and maintain a forklift certification
Preferred Qualifications:
- Current COVID-19 vaccination
Physical Requirements:
This role involves medium work, requiring the exertion of up to 50 pounds of force occasionally, up to 20 pounds frequently, and up to 10 pounds constantly to move objects.
Essential Physical Activities:
Driving, lifting, reaching, sitting, standing, stooping, and walking.
Work Environment:
While primarily office-based, certain tasks will occur in storerooms and warehouses, which may present varying temperatures and conditions. Travel to various sites using a vehicle is expected.
