Role Responsibilities:
The Department of Dermatology operates as a high-volume and efficient administrative unit within the School of Medicine, managing both pre- and post-award processes for a diverse array of funding sources, including federal, industry, and non-profit sponsors.
The selected candidate will undertake a comprehensive range of administrative and financial responsibilities associated with sponsored research activities, including:
- Preparation and management of clinical trial documentation and invoicing.
- Development and submission of contract and grant proposals.
- Post-award fund management and budget oversight.
The role involves collaborating closely with principal investigators to prepare the administrative components of proposals, ensuring compliance with sponsored research guidelines.
Key Duties Include:
- Overseeing the submission process for proposals, both electronically and in paper format, while ensuring completeness and adherence to compliance standards.
- Creating, preparing, and finalizing project budgets along with justifications.
- Acting as a liaison between principal investigators, the Office of Sponsored Research, and other departments, addressing sponsor inquiries effectively.
- Collaborating with the Office of Sponsored Research to ensure proper award setup and fulfillment of cost-sharing requirements.
- Engaging with Principal Investigator Study Teams on clinical trial initiation, invoicing, and ongoing feasibility assessments.
- Reviewing and approving expenditures, advising on post-award spending, and ensuring compliance with fund management.
- Generating reports that support project status and facilitate effective forecasting and decision-making.
- Participating in the contract closeout process, including the submission of final reports and audit documentation.
- Understanding and applying university and government policies relevant to projects.
- Serving as a technical resource for principal investigators and university staff.
- Contributing to process improvements and leading group projects.
- Providing mentorship and cross-training as necessary.
Qualifications:
Desired Experience:
At least one year of experience in Clinical Trials within a University Research Environment.
Education & Experience (Required):
A Bachelor's degree along with three years of relevant job experience, or a combination of education and experience.
Knowledge, Skills, and Abilities (Required):
Familiarity with governmental regulations and the ability to interpret and communicate policies and procedures effectively.
Strong oral and written communication skills, coupled with excellent analytical capabilities and proficiency in Excel and web-based tools.
Solid accounting skills and a comprehensive understanding of accounting principles.
Ability to complete Cardinal Curriculum I and II within the first six months in the role.
Knowledge of procurement needs, including sole-sourcing, cost analyses, vendor requirements, and small business reporting.
Understanding of property management requirements related to equipment and fabrications.
Competency in project management with meticulous attention to detail.
Ability to work independently while also seeking or providing assistance when necessary.
Exceptional time management and organizational skills.
Certifications & Licenses:
Completion of Cardinal Curriculum I and II is mandatory to maintain this position. Certification as an Accountant or Auditor, or a similar credential, is preferred.
Physical Requirements:
Frequent sitting, light grasping, fine manipulation, and desk-based computer tasks, with the ability to lift, carry, push, and pull objects weighing up to ten pounds. Occasional standing, walking, and manual tasks are also required.
Work Standards:
Demonstrates the ability to collaborate effectively with colleagues and external organizations while promoting a culture of safety.
Compliance with all applicable university policies and procedures is expected.
