Job Summary:
The Automotive Client Relations Specialist will serve as the initial point of contact for our clientele, delivering exceptional service both in person and via telephone. This role is essential for facilitating smooth operations within the service department, including appointment scheduling, inventory oversight, assisting service advisors, and managing various administrative responsibilities. The ideal candidate will exhibit excellent communication abilities, meticulous attention to detail, and a strong dedication to providing exceptional customer experiences.
Key Responsibilities:
- Customer Engagement:
- Welcome customers with warmth and professionalism, ensuring a positive initial interaction.
- Handle incoming calls, address inquiries, and route calls to the appropriate staff.
- Assist clients in arranging service appointments, offering precise information on services and availability.
- Appointment Coordination:
- Organize and schedule service appointments, ensuring optimal use of service bay capacity.
- Confirm appointments and follow up with clients to remind them of upcoming service visits.
- Inventory Oversight:
- Track and manage inventory levels of parts and supplies.
- Collaborate with suppliers and order necessary parts to maintain adequate stock levels.
- Support for Service Advisors:
- Assist service advisors with documentation, data entry, and client communication.
- Prepare and maintain service records, work orders, and other relevant documentation.
- Administrative Responsibilities:
- Ensure a clean and organized service reception area.
- Process payments, issue receipts, and manage customer transactions.
- Perform general administrative tasks such as filing, faxing, and emailing.
- Excellence in Customer Service:
- Address customer complaints and concerns with empathy and professionalism.
- Provide accurate and timely information to clients regarding their vehicle status and service needs.
- Team Collaboration:
- Work closely with service technicians, service advisors, and other staff to ensure seamless workflow and customer satisfaction.
- Participate in team meetings and contribute to continuous improvement initiatives.
Qualifications:
- High school diploma or equivalent; additional education or certification in customer service or automotive technology is advantageous.
- Prior experience in a customer service role, preferably within the automotive sector.
- Strong communication and interpersonal skills.
- Excellent organizational and time management capabilities.
- Proficiency in computer skills, including MS Office and customer management software.
- Able to manage multiple tasks simultaneously and work effectively in a fast-paced environment.
