Position Summary:
The Grant Specialist is responsible for reviewing, tracking, and maintaining grantee reports and deliverables while offering technical assistance to grantees. The ideal candidate will have a proven history of independently managing a portfolio of grantees and facilitating modifications, amendments, and other grant-related actions. Exceptional strategic communication skills are essential, as well as experience in leading project teams and serving as a primary contact for federal contracts. A collaborative spirit and the ability to thrive in a fast-paced, high-energy team environment are also critical.
Key Responsibilities:
- Assist with essential pre- and post-award grants management tasks, including materials preparation, correspondence, web content management, surveys/forms, and information collection.
- Develop and assess comprehensive findings reports, effectively communicating any changes or deviations.
- Maintain a high level of professionalism, diplomacy, and tact in all communications.
- Ensure timely uploads of reports and documentation into the required systems.
- Manage records in the tracking system, including file uploads, task monitoring, and issue reporting.
- Organize filing systems for both electronic and physical documents.
- Act as the reporting liaison, overseeing all reporting workflows through relevant systems.
- Prepare items for archiving in accordance with record-keeping standards.
- Oversee and manage all reporting workflows through GIMS and associated systems.
- Responsible for tracking program progress reports and ensuring timely submission of final reports.
- Notify relevant personnel regarding any incomplete or overdue reports.
- Conduct thorough reviews of official files to confirm compliance with programmatic requirements.
- Monitor the financial performance of grantees, including drawdowns and expenditures, to minimize unobligated and unliquidated balances.
- Engage with grantees and technical assistance providers to support programmatic and fiscal performance.
- Conduct performance evaluations and program assessments.
- Assist in facilitating regular collaboration calls, contributing to discussions, presenting findings, and documenting meeting minutes.
- Perform additional tasks related to the applicant review and selection process.
Additional Responsibilities:

Qualifications (Knowledge, Skills, Abilities):
- Proficient reporting skills.
- Strong verbal communication abilities.

Education and Experience:
- Bachelor's degree required; master's degree preferred.
- A minimum of 3 years of specialized experience in providing guidance and technical assistance to state, local, or federally funded grant programs.
- Ability to manage multiple projects and meet tight deadlines.
- Demonstrated knowledge of discretionary grant administration is preferred.
- Proven ability to aggregate and present data from various sources.
- Strong written and oral communication skills, with the ability to produce high-quality written materials.
- Exceptional organizational skills and the ability to prioritize effectively.
- Strong interpersonal skills, with a talent for building relationships and collaborating with diverse stakeholders.
- Proficient in Microsoft Outlook, Word, Excel, and PowerPoint, as well as various data management software.
- Experience in developing project documentation and quality control procedures.
- Adept at prioritizing tasks in a fast-paced, customer-focused environment.
- Detail-oriented.
Work Environment:
This position is remote, with the expectation of full-time hours. Typical work hours are Monday through Friday, with the possibility of extended hours during peak periods. Local and/or regional travel may be required, including overnight stays.
