Role Summary
The Operations Coordinator plays a crucial role in ensuring that active clients receive the personalized care plans developed by nurse navigators and executed by field nursing teams. This position serves as the central hub for shift scheduling and client contracts, collaborating closely with sales representatives, billing teams, and payroll departments to manage all client-related details effectively.
Key Responsibilities
- Prepare client contracts based on input from the Sales Development Representative.
- Implement client care plans as designed by nurse navigators.
- Schedule field nurse shifts accurately and verify hours for payroll processing.
- Input and maintain client information in the Charm EHR system.
- Review and validate client billable hours for the billing department.
- Address inquiries from clients and nursing staff, escalating issues as necessary.
- Facilitate communication between clients, billing teams, insurance companies, and long-term care providers to ensure accurate invoicing.
- Post available client shifts and ensure all shifts are filled daily using scheduling platforms.
- Collaborate with nurse navigators and the Director of Nursing to resolve client and nurse concerns.
- Engage with recruiting and operations teams on special projects as directed by the Director of Nursing.
- Conduct daily reporting and analysis to provide accurate metrics to leadership.
- Complete specific tasks and projects assigned by the Nurse Navigator and Director of Nursing.
Qualifications
- Certification as a Medical Assistant (MA) or Certified Nursing Assistant (CNA) is preferred.
- Relevant degrees or certifications in healthcare or nursing are advantageous.
- A Bachelor’s degree or equivalent experience is preferred.
Skills and Experience
- Minimum of 2 years of experience in customer support or administrative roles, particularly in healthcare.
- Proficiency with technology, including Google Suite, Outlook, and project management tools.
- Ability to thrive in a fast-paced, startup environment with a high degree of autonomy.
- Willingness to adapt to evolving responsibilities as the organization grows.
Work Environment
- Flexible work arrangements may be available after successful completion of training.
- Availability for a minimum of 20 hours per week, including weekends.
Compensation Structure
- This is a contract position with potential for future employment based on performance.
- Compensation ranges from $20-30 per hour, with opportunities for performance-based bonuses.
