Accounting and Administrative Specialist

At Beacon Hill, we are seeking a highly skilled Accounting and Administrative Specialist to join our team. The successful candidate will be responsible for conducting three-way matching for vendor invoices, ensuring proper coding and routing for approval. They will also verify and process accounts payable invoices and expense claims, ensuring accuracy, coding, and authorization. Additionally, they will prepare weekly Open Purchase Order (PO) reports and Accounts Payable (AP) Payment Forecasts, organize and maintain AP and accounting records in appropriate software or cloud storage, and generate and review monthly financial reports as directed. The ideal candidate will have a thorough working knowledge of accounting software and be able to ensure accurate and timely cost reporting by syncing material and labor costs in QuickBooks. They will also be responsible for greeting and assisting visitors at the corporate office, processing credit card applications and vendor documentation, managing incoming mail and overseeing distribution, providing administrative support to the company president, overseeing corporate office supplies and facility management, ensuring effective communication between corporate and production facilities, preparing and filing lien/pre-lien documents and processing lien releases for signature verification, managing accounts nearing 30-40 days overdue and initiating first contact, inputting billing into QuickBooks, including sending invoices with appropriate backup, running and reviewing Accounts Receivable (AR) aging reports after checks are posted, and assisting with preparing 13-week cashflow reports. The successful candidate will be proficient in Excel, including advanced functions like VLOOKUP, Pivot Tables, and SUMIFS, able to type at least 45 words per minute, have experience with QuickBooks, possess strong problem-solving skills with attention to detail in a fast-paced environment, be self-motivated and capable of working independently while adhering to deadlines, have excellent communication skills, with the ability to collaborate across all company levels, and a positive and energetic approach to workplace interactions. They will also be able to handle confidential information with discretion.
