Job Summary

The Financial Operations Specialist will provide support to the finance department with various tasks related to payroll processing, billing, invoicing, expense reporting, budgeting, and general financial operations and clerical duties. This role ensures accurate and timely processing of financial information to facilitate smooth daily operations.

Key Responsibilities:
  • Payroll Processing:
  • Assist in preparing and processing payroll using ADP, ensuring accuracy in timesheets, and compliance with company policies.
  • Monitor attendance, leave balances, and overtime to ensure proper payroll calculations.
  • Address payroll inquiries and resolve discrepancies in a timely manner.
  • Billing & Invoicing:
  • Prepare, scan, and file receipts and invoices as instructed in line with billing and financial obligations both incoming and outgoing.
  • Data entry for Sandata EVV and Therap.
  • Monitor accounts receivable and follow up on overdue invoices.
  • Assist in reconciling discrepancies and working closely with the finance team to resolve billing issues.
  • Budgeting Support:
  • Assist in tracking and monitoring departmental budgets to ensure expenses stay within allocated limits.
  • Provide support in preparing budget forecasts and analyzing variances.
  • Help maintain accurate financial records related to budgeting and expenditures.
  • Financial Reporting:
  • Support the preparation of monthly, quarterly, and annual financial reports.
  • Assist with financial data entry, reconciling bank statements, and verifying the accuracy of financial documents.
  • General Financial Administration:
  • Maintain and organize financial documentation and records, ensuring compliance with legal and regulatory standards.
  • Collaborate with other departments to ensure financial procedures are adhered to.
  • Other duties as assigned.
Requirements:
  • Education:
  • High school degree or GED. Higher education of an Associate in finance, accounting, business administration, or a related field is preferred.
  • Experience:
  • 1-2 years of experience in finance, payroll, or accounting roles.
  • Experience with financial software (e.g., QuickBooks, ADP, Therap, Sandata EVV, or similar) is preferred.
  • Skills:
  • Strong understanding of payroll and basic accounting principles.
  • Excellent organizational skills with attention to detail.
  • Strong numerical and analytical abilities.
  • Proficiency in Microsoft Office, particularly Excel and Word.
  • Ability to manage time effectively and meet deadlines.
  • Strong communication and interpersonal skills, able to work with cross-functional teams.
  • Proficient in multitasking and prioritizing work.
  • Ability to learn new systems and complete step-by-step process.
