Role Summary:We are looking for a meticulous and proactive Financial Operations Associate to become a vital part of our finance team. This role is crucial for ensuring the prompt, precise, and efficient processing of invoices and payments.
Key Responsibilities:- Invoice Management:
- Authorize and generate invoices accurately using QuickBooks.
- Oversee client implementation invoicing and guarantee timely dispatch.
- Manage invoicing processes for THINaer.
- Payment Handling:
- Document cash, checks, and credit card transactions; reconcile and record deposits.
- Ensure all cash receipts are posted by the end of the day.
- Verify payment details including amounts and check numbers.
- Investigate and resolve discrepancies in customer payments.
- Engage with customers as necessary for accurate payment application.
- Monitor customer accounts for overdue payments and irregularities.
- Administer daily deposits and configure commissions in QuickBooks.
- Collections Management:
- Implement a systematic approach to collections.
- Coordinate with other departments regarding payment receipts and overdue accounts.
- Reporting Duties:
- Generate specialized reports on client payments and overdue accounts.
- Prepare client-specific payment reports for Accounts Payable.
- Compile monthly collection reports for the Controller.
- Create weekly forecasts for collections.
- Client Setup and ACH Management:
- Manage client payment drafts via ACH.
- Establish new clients in QuickBooks.
- Special Projects:
- Execute special projects and ad hoc reporting by analyzing account data.
- Perform additional duties as assigned.
- At least 2 years of college-level accounting education and 3-5 years of relevant professional experience; or 7 years of professional experience; or a suitable combination of education and experience.
- Proficient in QuickBooks.
- Exceptional attention to detail with strong multitasking and deadline management capabilities.
- Able to work independently as well as collaboratively within a team.
- Professional demeanor with robust analytical, organizational, and problem-solving skills.
- Competent in Microsoft Office Suite and QuickBooks.
- Familiarity with Financial Force is advantageous.
- Valid driver's license is required.
- Customer Service: Responds promptly to client needs and exceeds expectations.
- Communication: Communicates clearly and effectively, both verbally and in writing.
- Planning and Organization: Prioritizes tasks to maintain high standards.
- Analytical Skills: Interprets and understands client account data.
- Problem Solving: Develops innovative solutions based on feedback.
- Written Communication: Produces clear and professional business correspondence.
- Adaptability: Adjusts to changes in the work environment effectively.
- Professionalism: Maintains integrity and confidence under pressure.
- Minimum 2 years of college-level accounting and 3-5 years of professional experience; OR 7 years of professional experience; OR any equivalent combination of experience and/or education.
