Job Summary:

The Customer Service Deductions Supervisor is a key role within the Sun-Maid organization, responsible for ensuring the effective resolution of customer discrepancies and deductions. This position requires a tenacious individual with excellent analytical and technical skills, who can work closely with the Customer Service Manager to implement procedures and achieve KPI goals.

Key Responsibilities:

  • Develop and maintain bi-monthly and bi-annual reporting of deduction claims and repayment recaps.
  • Identify and analyze problem accounts and types of claims, working with cross-functional teams to reduce future deductions.
  • Process and reconcile/clear claims, maintaining current deduction reconciliation procedures to ensure accurate coding and approval.
  • Analyze open repay requests and work with appropriate parties for resolution.
  • Complete department hourly payroll and manage vacation/sick time requests.
  • Work with the Customer Service Manager to address on-going deduction resolution training and maintain a current manual.
  • Assist with broker training and review customer policies, vendor guides, contracts, and other pertinent documentation to ensure claims processes are validated.
  • Utilize customer internet portals, internal trade system, QAD, and e-File to validate and document claims.
  • Understand cash application processes to assist with troubleshooting deduction creation issues.
  • Resolve issues quickly and respond to communications in a timely manner.

Requirements:

  • Minimum of 5 years deduction resolution experience.
  • Extensive MS Excel knowledge for data analysis/reporting.
  • Comfortable with technology, including MS Teams and internet portals.
  • Excellent communication skills, verbal and written.
  • Motivated team player.
  • Extremely organized and excellent delegation skills.
  • Natural curiosity to learn and adapt quickly.
