The Patient Access Specialist plays a crucial role in managing admission processes for all patients seeking services at the hospital. This role involves executing these responsibilities while aligning with the organization’s mission, objectives, and all regulatory compliance mandates. The Representative will operate within established policies and procedures as they are applied throughout the organization.

Key Responsibilities:
  • Patient Access staff are tasked with assigning accurate Medical Record Numbers (MRNs), conducting medical necessity and compliance checks, providing clear patient instructions, gathering insurance details, processing physician orders, and utilizing overlay tools while delivering exceptional customer service as evaluated by relevant metrics.
  • Manages the telephone switchboard to facilitate incoming, outgoing, and inter-office communications as necessary.
  • Ensures adherence to policies while providing compassionate customer service during these interactions.
  • Patient Access staff will be accountable for achieving designated point of service goals.
  • Responsible for pre-registering patient accounts prior to visits, which may involve both inbound and outbound calls to collect demographic, insurance, and other pertinent patient information, including financial liabilities and payment plan options.
  • Explains general consent for treatment forms to patients or their guardians and secures necessary signatures, as well as distributing educational materials such as Medicare and Tricare information, consent forms, and other relevant documents.
  • Reviews eligibility responses in the insurance verification system, accurately selects applicable insurance plan codes, and enters benefit data to support point of service collections and billing processes, ensuring a high clean claim rate.
  • Responsible for screening medical necessity using designated software to inform patients of potential non-payment issues and distributing necessary forms as appropriate.
  • Utilizes quality auditing and reporting systems to ensure account accuracy, which may include auditing accounts for other staff, departments, and facilities, ensuring all forms are completed accurately and timely to meet audit standards.
Required Qualifications:
  • High School Diploma or GED Required
  • CRCR Certification (Certified Revenue Cycle Representative) Required within 6 months of hire (Company Sponsored)
Preferred Experience:
  • 1+ years of experience in customer service
