Role Overview:

The Atlantic Council's Forward Defense Program is excited to welcome a Program Assistant who will contribute to our defense strategy and military operations portfolio.

In this capacity, the Program Assistant will undertake administrative, logistical, and research responsibilities to support FD's publications and reports; organize events; and manage correspondence and scheduling.

This entry-level position offers a unique opportunity to engage in significant defense discussions and gain insights from leading experts on matters affecting U.S. national security.

The ideal candidate will be innovative, resourceful, proactive, and possess a demonstrated interest and foundational knowledge of defense and national security topics.

Key attributes include meticulous attention to detail, effective multitasking abilities, and strong communication skills in a dynamic work environment.

Moreover, the ability to accept guidance and feedback, manage upwards, and collaborate with team members across various levels is essential.

Sound judgment and the capability to juggle multiple projects while maintaining timelines and deliverables are critical for success in this role.

This position is based in our Washington, DC headquarters with a hybrid work schedule. Compensation is commensurate with experience, education, and organizational equity, with starting offers at $50,000.


Key Responsibilities:

The Program Assistant will be responsible for the following:

  • Provide logistical and administrative assistance to FD team projects and operations, particularly within the defense strategy and military operations portfolio.
  • Prepare agendas and background materials to equip principals for external meetings.
  • Organize and execute events, taking primary responsibility for several FD public and private gatherings.
  • Draft, edit, and proofread internal and external communications.
  • Liaise with internal and external offices, including FD fellows, military fellows, partners, and stakeholders on various projects.
  • Document notes during events and create write-ups for program archives and publications.
  • Support communications for events and reports, including drafting social media content and scripts for multimedia products.
  • Assist in the publications process for FD reports and op-eds, including editing and design choices.
  • Maintain programmatic databases and mailing lists.
  • Coordinate scheduling for calls, meetings, and travel related to events and projects.
  • Support FD's network of senior fellows and consultants, managing agreements and payments as necessary.
  • Supervise and assist in managing program interns.
  • Conduct research to support the Director, staff, and senior fellows on priority projects and current events in security and defense.
  • Occasionally write articles and assist in drafting op-eds and reports.
Qualifications:

A demonstrated interest in and passion for defense and security issues are essential.

Candidates with specific interests in one or more of Forward Defense's portfolio areas should highlight this in their applications.

A Bachelor's degree is required, with studies in international affairs or a related field preferred, although diverse educational backgrounds may qualify candidates for this position.

Exceptional attention to detail and the ability to manage project deliverables are key.

Multitasking and staying organized in a fast-paced environment are crucial skills.

Strong organizational, written, and verbal communication skills are necessary.

Excellent interpersonal skills, including the ability to collaborate effectively with others and engage professionally with senior figures, are important.

Proficiency in Microsoft Office is required; familiarity with other software platforms (such as WordPress, Salesforce, and Marketo) is a plus.

Candidates must be willing to commit to a full-time schedule and occasionally longer hours to meet time-sensitive deliverables.

Ability to work in-person from the Council's Washington, DC headquarters at least three times a week and remotely during Eastern time zone business hours is expected.

Previous experience in event management, communications, business development, or financial tracking is advantageous.
