Job Summary

The Unit Coordinator/Secretary plays a vital role in the efficient functioning of the nursing unit. This individual is responsible for coordinating the activities of nursing staff, patients, physicians, and other hospital departments, ensuring seamless communication and collaboration.

Key Responsibilities

1. Patient Experience


a. Demonstrates exceptional customer service skills, responding promptly to inquiries and providing accurate information.

b. Serves as a resource person for nursing staff, clinicians, and support services, facilitating effective communication and collaboration.

c. Interacts with patients and families in a compassionate and empathetic manner, prioritizing their needs and concerns.

2. Technology and Workflow

a. Utilizes various software applications to streamline work processes and practices, ensuring accuracy and efficiency.

b. Accesses electronic records and resources, maintaining confidentiality and adhering to hospital policies.

3. Patient Flow and Coordination


a. Scans and processes orders, ensuring timely and accurate delivery to the pharmacy and nursing staff.

b. Maintains accurate bed tracking and PCS systems, facilitating efficient patient flow and discharge processes.

c. Coordinates appointments and ensures timely completion of discharge paperwork and medication reconciliation.

4. Unit Operations and Safety


a. Prints and reviews unit reports, ensuring accuracy and completeness.

b. Files reports in patient charts, maintaining confidentiality and adhering to hospital policies.

c. Conducts daily chart audits, identifying areas for improvement and implementing corrective actions.

d. Participates in shift-to-shift reports, ensuring continuity of care and patient safety.

5. Supplies and Services


a. Orders supplies and equipment, collaborating with the Operations Supervisor to ensure timely delivery and effective use.

b. Maintains par levels and orders from outside vendors, ensuring optimal inventory management and cost-effectiveness.

6. Compliance and Quality


a. Understands individual roles and responsibilities in emergency situations, ensuring prompt and effective response.

b. Maintains a safe and clean environment, adhering to regulatory requirements and hospital policies.

c. Complies with hand hygiene guidelines and universal precautions, prioritizing patient safety and well-being.

7. Professional Development


a. Serves as a preceptor for new employees, providing guidance and support in their onboarding process.

b. Demonstrates flexibility and adaptability in meeting scheduling needs and unit requirements.

c. Utilizes critical thinking and problem-solving skills to address day-to-day challenges and emergent situations.

d. Communicates effectively with the chain of command, ensuring timely resolution of issues and concerns.

8. Patient-Centered Care


a. Conveys respect for patients' values, preferences, and expressed needs, prioritizing their comfort and well-being.

b. Recognizes patients and families as integral members of the healthcare team, involving them in care planning and decision-making.

Minimum Education - Preferred
High School Diploma/GED preferred.

Minimum Work Experience
Knowledge of basic medical terminology preferred.
Basic computer knowledge is preferred.

Ability to communicate effectively and document information accurately. Ability to deal efficiently and effectively with a wide variety of individuals.
