The Financial Grants Specialist will oversee all functions related to grant management within the organization.
This role involves collaborating with agency and finance personnel to ensure that all grant applications and reports are thorough, precise, and submitted in a timely manner. The specialist will also ensure compliance with all regulatory requirements, reporting standards, and specific conditions tied to grants.
Key Responsibilities- Exhibit a strong understanding of the mission, philosophy, and values of VALID8 Financial, effectively communicating these to staff and stakeholders.
- Adhere to all organizational policies and procedures, maintaining high ethical standards.
- Reconcile grant expenditures to confirm accurate coding and permissible expenses.
- Maintain grant documentation to ensure audit readiness at all times.
- Establish and oversee reporting and filing timelines for all grants.
- Generate financial reports for grants and coordinate with agency personnel to ensure timely submission of all required reports.
- Monitor grant spending to ensure responsible stewardship of funds.
- Review grant and contract documentation to set up the necessary accounting framework for accurate financial reporting.
- Facilitate financial accounting between the organization and grantors to ensure correct recording and reporting of all grant-related costs, in accordance with applicable regulations.
- Assist in coordinating the annual audit and other internal and external reviews as needed.
- Collaborate with accounting staff to ensure proper allocation of employee time and expenses charged to grants.
- Participate in relevant training and seminars to fulfill skill and duty requirements.
- Upon contract execution, manage and track agreements, outlining terms and responsible parties.
- Foster positive working relationships across all organizational departments.
- Perform additional accounting and organizational duties as assigned.
Associate Degree in Business Administration or a related field with a focus on accounting is required; a Bachelor's degree in Business, Accounting, or a related field is preferred.
Experience3-5 years of professional accounting experience is required, with a preference for at least two years of experience in managing Federal and State grants.
Demonstrated knowledge of accounting principles and the ability to quickly learn state and federal regulations is essential. Experience in not-for-profit accounting is preferred.
Knowledge, Skills, and Abilities- Basic understanding of adolescent development and behaviors, with the ability to connect with at-risk youth.
- Strong interpersonal skills to effectively engage with staff, youth, and community organizations.
- Approachable demeanor, capable of building rapport and practicing active listening.
- Ability to learn and navigate various databases, including proficiency in Microsoft Office Suite.

This position is primarily office-based. The noise level is typically mild to moderate, consistent with standard office environments.
Effective communication of information and ideas is essential, as is the ability to observe details closely. The role requires the ability to remain stationary for extended periods and to navigate the office to access files and equipment.
Regular operation of a computer and related office machinery is expected, along with the ability to ascend and descend stairs in case of emergencies.
