Job Title: Medical Assistant Supervisor

Join our team as a Medical Assistant Supervisor at Diabetes and Glandular Disease Clinic, where you will play a vital role in ensuring the smooth operation of our clinic.

Job Summary:

We are seeking a highly skilled and experienced Medical Assistant Supervisor to oversee the daily activities of our clinic staff. As a Medical Assistant Supervisor, you will be responsible for supervising and coordinating the work of our medical assistants, ensuring that our patients receive exceptional care and service.

Key Responsibilities:
  • Supervise and coordinate the work of medical assistants, ensuring that they are working efficiently and effectively.
  • Monitor patient flow and wait times, making adjustments as needed to ensure a smooth and efficient clinic experience.
  • Collaborate with the front desk and communication supervisor to identify and resolve operational problems.
  • Manage the daily, weekly, and monthly schedules of clinical medical assistant staff, ensuring that adequate coverage is provided at all times.
  • Provide clear expectations and instructions to lead the day's operations, ensuring that staff are aware of their responsibilities and tasks.
  • Monitor and schedule high-cost tests and procedures under physician orders, working closely with senior and lead medical assistants.
  • Provide administrator with information and reports as needed to prepare for annual budgets.
  • Monitor provider email system to assist with timely advice and communications with patients and other providers.
  • Manage patient assistance programs, including forms completion, submission, and handling of prescription medications.
  • Orient and train new medical assistant staff, monitoring their performance and providing feedback and coaching as needed.
  • Complete employee evaluations, including 90-day, annual, and disciplinary evaluations, working closely with HR.
  • Fulfill the continuing education needs of subordinates, identifying areas for improvement and arranging for educational programs and in-services.
  • Acquire supplies and equipment needed for day-to-day clinic operations, working closely with lead operations medical assistant.
  • Troubleshoot patient concerns and complaints, addressing them promptly and effectively.
  • Mentor staff and supervisors in clinic policies and procedures.
  • Meet with provider and management staff regularly to ensure open communication and push forward clinic changes and improvements.
  • Review, collect, and approve time entry data for direct report employees, submitting it to payroll on a daily basis.
Requirements:
  • High school graduate or equivalent.
  • Licensed Vocational Nurse (LVN) or equivalent.
  • At least 3-5 years of experience in a medical assistant and LVN supervisory position.
  • Experience with team management, policy creation, and government regulations.
  • Knowledge of organizational structure, workflow, and operating procedures.
  • Ability to work effectively with diverse populations, supervise and train staff, and communicate effectively.
  • Ability to foster a cooperative work environment, develop employee skills, and manage budgets.
Working Conditions:

Work is normally performed in a typical interior/office work environment. No or very limited physical effort required. No or very limited exposure to physical risk.

The Diabetes and Glandular Disease Clinic provides all training required by OSHA to ensure employee safety. HIPAA Privacy Training and Sanctions are also required for all employees with access to health information.
