Position Overview: The role of the Administrative Support Specialist is essential in facilitating the efficient functioning of various departments within the healthcare facility. This position requires a proactive individual who can assist with front desk operations, manage patient registrations, schedule appointments, and maintain precise medical documentation. The specialist will be expected to provide support across different areas of the clinic as necessary.

Key Responsibilities:

1. Front Desk Management:

· Welcome patients, visitors, and staff in a friendly and professional manner.

· Handle incoming calls, address inquiries, and route calls to the correct departments or personnel.

· Efficiently manage patient check-in and check-out procedures, ensuring the accuracy of registration and insurance details.

2. Appointment Coordination:

· Organize patient appointments using the electronic scheduling system, considering physician availability and patient preferences.

· Manage changes to schedules, cancellations, and rescheduling, ensuring clear communication with patients and healthcare providers.

· Confirm appointments with patients through various communication methods to reduce no-shows and enhance clinic efficiency.

3. Patient Registration and Record Keeping:

· Gather and verify patient demographic information, insurance details, and medical history during the registration process.

· Ensure the accuracy and completeness of patient records, including data entry into the electronic health record (EHR) system.

· Uphold patient confidentiality and comply with HIPAA regulations regarding medical records and personal health information.

4. Clinical Assistance:

· Support healthcare providers by preparing examination rooms, stocking necessary supplies, and maintaining cleanliness in clinical areas.

· Guide patients to examination rooms, provide basic instructions, and assist with patient flow to maximize efficiency.

· Collaborate with clinical staff to enhance patient care and ensure a positive experience during clinic visits.

5. Administrative Duties:

· Execute general clerical tasks such as photocopying, faxing, scanning documents, and organizing medical records.

· Assist in processing billing and insurance claims, verifying coverage, and collecting co-payments or outstanding balances from patients.

· Manage incoming and outgoing correspondence and other administrative responsibilities as assigned.

Qualifications:

· An associate degree or certificate in healthcare administration or a related field is preferred.

· Prior experience in a medical office or clinic environment, with familiarity in medical terminology, procedures, and electronic health records systems.

· Strong organizational skills with meticulous attention to detail and accuracy in data entry and record management.

· Excellent interpersonal and communication abilities, capable of effectively interacting with patients, staff, and external contacts.

· Proficiency in computer applications, including Microsoft Office Suite and electronic medical records (EMR) software.

· Capability to multitask, prioritize responsibilities, and adapt to shifting priorities in a dynamic clinical setting.
