We are seeking a skilled and experienced Financial Operations Manager to join our passionate team, dedicated to creating positive change. Key Responsibilities
Reporting to the Chief Financial Officer (CFO), the Financial Operations Manager will oversee all financial, accounting, and reporting activities. As the second-in-command to the CFO, this role will involve supporting presentations to the Board Finance Committee and collaborating closely with the senior leadership team.
The Financial Operations Manager will manage the day-to-day financial operations of a budget of $8 million, including responsibilities for accounting, accounts payable, accounts receivable, payroll, and grants administration. This position will ensure that SMAA has the necessary systems and procedures in place to support effective program implementation and conduct seamless audits. The Manager will work closely with program leaders and their teams to educate them on finance and accounting procedures while exploring how the finance function can enhance program operations.
Grants Management and Reporting
- Oversee all financial, project/program, and grants accounting; ensure that expenditures align with grant and program budgets throughout the grant/fund period; compile financial reporting materials for government, corporate, and foundation grants.
- Manage organizational cash flow forecasting in partnership with program managers; continuously collaborate with program managers to evaluate the financial efficacy of program operations and establish finance and administrative systems to support these operations.
- Ensure accurate tracking and reporting of grant expenditures and contributions, maintaining strong relationships with State and Federal partners, demonstrating accountability.
Lead Day-to-Day Operations of Finance & Accounting: Support SMAA's financial planning and analysis, ensuring alignment with our mission and strategic goals. Provide insightful recommendations to guide decision-making and optimize resource allocation.
- Oversee all accounts, ledgers, and reporting systems ensuring compliance with appropriate GAAP standards and regulatory requirements.
- Maintain internal controls and safeguards for revenue receipt, costs, and program budgets versus actual expenditures.
- Coordinate all audit activities.
- Consistently analyze financial data and present financial reports accurately and timely; communicate monthly, quarterly, and annual financial statements; monitor progress and changes, keeping the CFO and senior leadership informed of SMAA's financial status.
- Assist in the annual budgeting and planning process; administer and review all financial plans, comparing them to actual results to identify, explain, and correct variances as necessary.
- Manage and track the performance of invested assets in accordance with policies and investment guidelines.
- Prepare and present accurate financial reports, budgets, and forecasts to the Board of Directors and executive leadership, providing clear insights into our financial health and performance.
- Ensure compliance with regulatory requirements and manage internal and external audits.
- Implement best practices for financial controls and risk management.
Process Improvement: Identify and implement efficiencies in financial processes and systems to enhance accuracy and streamline operations.
- Leverage the strengths of current finance team members, clarify roles and responsibilities, and develop training programs to maximize individual and organizational goals.
- Provide leadership in strengthening internal communications with staff at all levels throughout the organization; create and promote a positive and supportive work environment.
- Collaborate with the CFO, senior leadership, and human resources (HR) and information technology (IT) staff to enhance and better integrate finance, HR, and IT functions.
- Maintain confidentiality in all aspects of this position.
Qualifications
This is an exceptional opportunity for a seasoned leader with 6+ years of accounting and finance experience. The ideal candidate will be detail-oriented and methodical, with experience in a complex nonprofit environment that encompasses multiple programs and various funding models.
Preferred qualifications include:
- A minimum of a BA; CPA and/or MBA preferred.
- 6+ years in finance, accounting, grants management, or an equivalent combination of education and experience.
- Personal qualities of integrity, credibility, and unwavering commitment to SMAA's mission; a proactive, hands-on strategic thinker who will partner with the CFO in finance responsibilities.
- Precise and detail-oriented, taking pride in delivering and maintaining high-quality work.
- Proven experience in leading and developing a finance team and collaborating successfully with program teams, demonstrating excellent communication and interpersonal skills.
- A proactive approach with the ability to thrive in a dynamic, fast-paced environment while managing multiple priorities.
- Ability and desire to translate complex financial concepts to individuals at all levels, including finance and non-finance managers.
- Keen analytic, organizational, and problem-solving skills that allow for strategic data interpretation versus simple reporting.
- Technology savvy with experience in selecting and overseeing software installations and managing relationships with software vendors.
- Solid experience coordinating audit activities and managing reporting, budget development and analysis, accounts payable and receivable, general ledger, payroll, and accounting for investments.

Salary and Benefits
This is a full-time position (40 hours per week) with an annual salary of $72,000 - $80,000, depending on experience. Benefits include:
