The role involves delivering exceptional, personalized assistance to our clientele through phone and email communications. The ideal candidate will possess strong attention to detail and superior organizational abilities. Daily responsibilities include multitasking to ensure accurate and timely processing of customer orders, maintaining subscriptions, addressing email inquiries, and updating product information. This position also includes cross-training to provide support for the Sales & Customer Service team.
Key Responsibilities:
- Deliver exceptional support to customers regarding order processing. Verify order details for accuracy prior to final submission. Adhere to all standard operating procedures related to order entry.
- Execute daily tasks with precision and timeliness.
- Assist customers in navigating our online services and websites.
- Collaborate with various departments to resolve order-related issues and respond to customer inquiries and complaints.
- Provide order-entry assistance to the Sales Team, particularly to the Ministry Sales Account Manager.
- Respond to customer phone calls with a positive demeanor, return voicemails, and reply to emails within the same business day.
- Sort and process incoming mail, responding as necessary within the same week of receipt.
- Manage inventory imports utilizing Excel.
- Update product information across multiple online platforms to ensure accuracy in pricing and details. Report any discrepancies to management and IT.
- Archive product data for inactive items from online applications.
- Generate data reports as requested by the sales manager.
- Inform the Customer Service Manager of any issues requiring escalation beyond your authority.
- Proficient in standard Windows-based applications and internet browsers. Training will be provided for company-specific software.
- Exemplary positive, professional, and service-oriented attitude. Respectful and supportive of authority.
- Effective communication skills in person, via phone, email, and written correspondence.
- Strong phone presence, empathetic and understanding. Excellent interpersonal skills.
- High School Diploma required. Previous experience in data entry and customer service is advantageous.
- Accurate data entry skills with proficiency in basic mathematics. Ability to type at least 40 words per minute.
- Basic understanding of Excel and MS Word functionalities.
- Adhere to all company policies and procedures as outlined in the employee manual.

Work Environment: The role is situated in a standard office setting that is fast-paced yet pleasant, fostering cordial relationships among staff. The noise level is typically low to moderate. Reasonable accommodations may be made for individuals with disabilities to perform essential functions.
Physical Requirements: Must be able to sit for extended periods and lift office supplies and equipment (up to 20 lbs).
